We are looking for a highly organized and proactive Office Administrator to support the day-to-day operations of our office. The ideal candidate will be responsible for managing office supplies, coordinating schedules, maintaining records, and providing administrative support to various teams. This role is key in ensuring a smooth and efficient office environment.
Key Responsibilities:
Manage office supplies, including inventory, ordering, and restocking as necessary.
Organize and schedule appointments, meetings, and events for staff and management.
Handle incoming and outgoing communications (phone calls, emails, and mail).
Maintain office organization, including filing, data entry, and document management.
Assist with onboarding new employees and managing office space needs.
Coordinate travel arrangements, accommodations, and itineraries for staff as needed.
Assist with creating and maintaining company documents, presentations, and reports.
Provide general administrative support to various departments, such as HR, Finance, and Operations.
Ensure office equipment and systems are functioning properly and coordinate repairs or replacements when necessary.
Process and manage office-related invoices, receipts, and other financial records.
Serve as a point of contact for office-related inquiries and provide customer service to staff, visitors, or clients.
Qualifications:
Proven experience in office administration or a similar administrative role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Excellent communication skills, both written and verbal.
Ability to maintain confidentiality and handle sensitive information.
Strong attention to detail and problem-solving abilities.
Knowledge of office management systems and procedures.
Ability to work independently and as part of a team in a fast-paced environment.
Preferred Qualifications:
Experience with office management software or tools (e.g., Google Workspace, project management tools).
Basic bookkeeping or accounting skills.
Previous experience in managing office facilities or vendors.
