The Office Administrator will be responsible for ensuring the smooth operation of the office, managing administrative tasks, and providing support to the staff and clients. The ideal candidate will be highly organized, proactive, and possess excellent communication skills. Key Responsibilities:
  • Administrative Support:
  • Manage day-to-day office operations.
  • Maintain office supplies inventory by checking stock and ordering new supplies as necessary.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
  • Client Services:
  • Greet and assist clients in a professional and courteous manner.
  • Schedule and confirm appointments, meetings, and consultations.
  • Assist clients with filling out necessary forms and applications.
  • Record Keeping:
  • Maintain organized and accurate records of client files and office documents.
  • Update and manage client databases and CRM systems.
  • Office Coordination:
  • Coordinate with various departments to ensure smooth operations.
  • Assist in organizing company events, meetings, and workshops.
  • Liaise with office suppliers and service providers.
  • Financial Administration:
  • Assist with basic bookkeeping tasks such as invoicing, expense tracking, and budget management.
  • Manage petty cash and office expenses.
  • Human Resources Support:
  • Assist in the onboarding process for new employees.
  • Maintain employee records and handle HR-related documentation.
Required Skills and Qualifications:
  • Education: Bachelor\xe2\x80\x99s degree.
  • Experience: Minimum of1 years of experience in office administration or a related role. Freshers may apply if they think that they have the capability to manage above operations.
  • Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with office management software (e.g., CRM, ERP).
  • Communication: Excellent written and verbal communication skills in English. Knowledge of additional languages is a plus.
  • Organizational Skills: Strong organizational and time-management skills with the ability to multitask and prioritize tasks effectively.
  • Interpersonal Skills: Friendly and professional demeanor with the ability to interact effectively with clients and team members.
  • Problem-Solving: Proactive approach with strong problem-solving skills and attention to detail.
  • Adaptability: Ability to work in a fast-paced environment and adapt to changing priorities.
