Key Responsibilities:
1. Administrative Support:
• Provide comprehensive administrative support to various departments within the organization.
• Manage and maintain office files, records, and documentation.
2. Front Desk Management:
• Serve as the first point of contact for visitors, clients, and employees.
• Handle incoming calls, emails, and inquiries, directing them to the appropriate individuals or departments.
3. Office Maintenance:
• Oversee general office upkeep, ensuring a clean and organized workspace.
• Collaborate with vendors for office supplies, equipment maintenance, and repairs.
4. Meeting Coordination:
• Schedule and coordinate meetings, appointments, and conference room bookings.
• Prepare meeting agendas, attend meetings, and record minutes when necessary.
5. Travel Arrangements:
• Assist in making travel arrangements for employees, including booking flights, accommodations, and ground transportation.
6. Training Coordination:
• Plan and coordinate company events, workshops, and team-building activities.
• Manage logistics, catering, and other details for successful event execution.
7. Document Preparation:
• Assist in the creation, formatting, and editing of documents, reports, and presentations.
• Ensure documents adhere to established formatting and branding standards.
8. Communication Liaison:
• Serve as a communication liaison between employees and management.
• Disseminate relevant information to staff through various communication channels.
9. HR Support:
• Assist in HR-related activities, such as onboarding new employees and maintaining employee records.
• Support in organizing training sessions and workshops.
10. Technical Support:
• Provide basic technical support and troubleshooting for office equipment and software.
• Coordinate with IT support for more complex technical issues.
Qualifications:
• Bachelor's degree in Business Administration or a related field.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal abilities.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Attention to detail and problem-solving skills.
Education and Experience:
• A Master's degree in Business Administration or a related field is preferred.
• Previous experience in an administrative or office management role is a plus.
