Position Summary:

The Office Administrator is responsible for ensuring the smooth and efficient operation of the office by providing administrative support, managing office resources, and coordinating various office activities. This role is pivotal in maintaining a productive and organized work environment.

Key Responsibilities:

• Administrative Support:
• Answer and direct phone calls, emails, and other correspondence.
• Schedule and coordinate meetings, appointments, and travel arrangements for executives and staff.
• Prepare and distribute memos, reports, and other documents as required.
• Maintain an organized filing system for important and confidential company documents.
• Office Management:
• Oversee the maintenance and cleanliness of the office environment.
• Order and manage office supplies, ensuring inventory is stocked and cost-effective.
• Coordinate with IT support to ensure all office equipment is functioning properly.
• Handle minor office repairs and liaise with building management for larger maintenance issues.
• Financial Administration:
• Assist in the preparation and monitoring of the office budget.
• Process invoices, receipts, and other financial documents.
• Track expenses and prepare expense reports for reimbursement.
• Human Resources Support:
• Assist with onboarding new employees, including preparing workstations and necessary documentation.
• Maintain employee records and handle confidential information with discretion.
• Support the organization of company events, meetings, and training sessions.
• Communication and Coordination:
• Serve as a point of contact for internal and external stakeholders.
• Facilitate effective communication within the office and between departments.
• Coordinate with external vendors and service providers.
• Project Assistance:
• Provide administrative support for special projects and initiatives.
• Conduct research, compile data, and prepare reports for management as needed.

Qualifications:

• Education: High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration or related field preferred.
• Experience: Minimum of 2-3 years of experience in an administrative or office management role.
• Skills:
• Excellent organizational and multitasking abilities.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to handle sensitive information with confidentiality and professionalism.
• Attention to detail and problem-solving skills.
• Familiarity with office management procedures and basic accounting principles.
