Job Role: Office AdministratorJob Summary: The Office Administrator is responsible for efficiently managing office operations, including document management, billing, courier services, inventory control, and office maintenance. The role involves organizing and filing documents, handling purchase and sales bills, booking and tracking couriers, managing claims and returns, and ensuring timely procurement of office supplies. Primary Responsibilities: 1. Document Management:
Organize and file all papers date-wise in respective files.
Track all filed documents using Excel.
2. Billing and Invoicing:
File purchase bills in respective vendor files.
File sales bills and maintain sales documents including proof of dispatch, delivery, and GRN.
Print each bill with POD, client receiving, QDN/debit note, or credit note, and maintain records in Google Spreadsheet/Excel.
3. Courier and Dispatch Management:
Book all kinds of parcels/couriers, including bulk dispatches from Bhiwandi.
Research cost-saving options for parcel/courier services.
Track all parcels/couriers, including bulk dispatches from Bhiwandi, to find cost-saving options.
4. Claims and Returns:
Handle TDS claims from online companies.
Manage returns and claims for damages from online companies and maintain records.
5. Inventory Management:
Conduct stock checks at Bhiwandi every two months and report discrepancies.
Manage inventory for both the warehouse and Malad office.
Timely order packing materials and stationery.
6. Office Maintenance:
Oversee office maintenance tasks such as ordering tea, and maintaining AC, plumbing, and electric switches at the best price.
7. Cost Reduction:
Implement strategies to reduce overall company expenses and save costs. Incentives are available for proven cost savings.
8. Team Coordination:
Ensure all team members reach on time and mark their attendance.
9. Vendor Coordination:
Follow up with vendors regarding GST payments and provide timely information to the owner to manage vendor payments effectively (2B reconciliation).
