Position Overview:
The Office Administrator will play a crucial role in maintaining the smooth functioning of our office, supporting the production team, and ensuring that all administrative tasks are handled efficiently. This position is ideal for a proactive individual with excellent organizational skills, who thrives in a fast-paced and creative environment.
Key Responsibilities:
Administrative Support:
• Manage daily office operations, including answering phone calls, emails, and handling correspondence.
• Schedule meetings, appointments, and coordinate calendars for the team.
• Maintain office supplies and equipment, ensuring the office is fully stocked and operational.
HR and Payroll Support:
• Assist with HR-related tasks such as onboarding new employees, maintaining employee records, and handling timesheets.
• Liaise with external HR and payroll services to ensure timely processing of employee salaries and benefits.
Production Assistance:
• Provide administrative support to the production team by coordinating travel arrangements, booking locations, etc.
• Coordinate travel and arrangements with the team and clients, if needed.
Document Management:
• Maintain organized filing systems for contracts, invoices, and other important documents.
• Handle data entry and ensure that records are updated and accurate.
Client and Vendor Relations:
• Communicate with clients, vendors, and external partners for administrative purposes.
• Manage contracts, handle invoices, and follow up on payments and deliveries.
Office Culture and Events:
• Organise company events, team outings, and office activites.
• Foster a positive and creative office environment that aligns with the company's culture and values.
Qualifications:
• Candidate should hold a valid degree or diploma in Business Administration, Management, or related field.
• 2+ years of experience in office administration and accounting.
• Strong organisational and multitasking skills, with the ability to prioritise and meet deadlines.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite and office management software.
• Ability to work independently and collaboratively in a fast-paced, creative setting.
• A proactive, solution-oriented approach to problem-solving.
Preferred Qualifications:
• Prior experience in the film production industry, creative agency, or a startup environment.
• Familiarity with accounting, budgeting, and invoicing software.
• Proficiency in written and spoken English and Hindi languages.
• Should be able to interact with clients and vendors seamlessly.
