This team seeks a highly-skilled and motivated individual. The Office Administrator (OA) in BGES is responsible to provide administrative support to

  • Executive Director, BGES India
  • Executive Director & CFO India
  • BGES & Finance Leadership Team
  • Senior visitors and other team members as needed
OA will be based in Bangalore and reporting to Executive Director, BGES India and Executive Director & CFO India Position Responsibilities: Responsibilities, includes, but not limited to the following:
  • Provide administrative support to the listed stakeholders
  • Manage, coordinate, and reconcile
    • Outlook calendars
    • Virtual resource tools to support appointments, meetings, events and business travel
    • Schedules, conflicts with multiple executives, managers, customers, partners and suppliers
  • Ensure Conference room resources are maintained and available
  • Set up WebEx and telecons as needed
  • Make, coordinate, implement and monitor
    • Domestic and international business travel arrangements
    • On-going logistics for all designated business travelers.
    • Logistics for executive level
    • Internal/external events and meetings such as employee meetings, workshops, conferences, leadership events and customer meetings
    • Bills and expensing. Assist management to ensure timely and accurate compliance to Travel Policies; e.g. collect travel receipts (scanning, follow-up), reconcile / verify payments to corporate credit card charges
Provide assistance to:
  • Create, edit and maintain electronic and written communication such as memos, reports, presentations, flow charts, and organization charts
  • Collect, compile and maintain data/information on action items, matters requiring follow-up, and provide visibility of status to stakeholders
  • Collaborate to maintain web site and SharePoint site and other records as needed
  • Team and coordinate with others to provide seamless support for the organization as required by management
  • Supports other activities like GCC or special projects as required by management
Employer will not sponsor applicants for employment visa status. Basic Qualifications (Required Skills/Experience):
  • Bachelor\xe2\x80\x99s or Master\xe2\x80\x99s degree with experience of at least 10 + years as an office administrator; the successful candidate will have extensive experience working with senior managers and executives, at an MNC.
  • Excellent written and oral English language skills
  • Ability to build strong relationships
  • Effectively manage multiple projects
  • Strong organizational skills, time management skills, and ability to work cooperatively as a team member.
  • Proficient in the use of Microsoft Office tools, including Word, PowerPoint, Excel and Outlook.
  • Positive and proactive working attitude, and high ethical and integrity standards.
  • Ability to learn and apply new skills, such as Boeing specific processes and software tools.
  • Ability to work under limited supervision; methodical and thorough with a focus on detail and completion of tasks.

  • Education/experience typically acquired through advanced education (e.g. Bachelor) and typically 11 or more years\' related work experience or an equivalent combination of education and experience (e.g. Master+ 10 years\' related work experience.
