Job Overview:
We are seeking a highly organized and proactive Administrative Assistant to join our team. The successful candidate will provide general administrative support, ensure efficient office operations, and assist with day-to-day business tasks. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
• Office Management : Maintain a well-organized office environment, including ordering supplies, managing inventory, and ensuring office equipment is functional.
• Scheduling and Coordination : Manage appointments, calendars, and schedules for senior management and staff. Organize meetings, conferences, and travel arrangements as required.
• Documentation and Record Keeping : Assist in maintaining files, records, and documentation in both electronic and physical formats. Ensure confidentiality of sensitive information.
• Communication Support : Serve as the first point of contact for phone calls, emails, and inquiries, directing them to appropriate team members. Prepare and proofread correspondence, memos, reports, and presentations.
• Data Entry and Reporting : Enter and maintain data in internal systems, generate reports as needed, and ensure that all records are up to date.
• Event and Meeting Support : Organize and support internal and external meetings, including room setup, refreshments, and preparing agendas. Take meeting minutes and distribute as needed.
• Office Budgeting : Assist in tracking office expenses and provide regular updates on spending to ensure budget compliance.
• Human Resources Assistance : Assist with onboarding new employees, preparing documentation, and maintaining employee records as needed.
• General Office Support : Provide additional administrative assistance as needed, including handling mail, maintaining office cleanliness, and running errands.
