Job Summary:



Bluevine Bengaluru is seeking a dynamic and organized Office Manager with a minimum of 5 years of experience to oversee the efficient operation of our office environment. This role involves managing various administrative tasks, ensuring smooth day-to-day operations, and fostering a positive work environment. The ideal candidate must be willing to work in core night shifts and demonstrate excellent multitasking abilities, strong communication skills, and a proactive approach to problem-solving.



Responsibilities:



Vendor Management:


• Identify, evaluate, and negotiate with vendors for office supplies, services, and equipment.
• Maintain vendor relationships to ensure timely delivery of goods and services.
• Monitor vendor performance and address any issues or concerns.


Transport Management:


• Coordinate transportation arrangements for employees, clients, and visitors as needed.
• Oversee vehicle maintenance schedules and ensure compliance with safety regulations.
• Manage transportation expenses and seek cost-saving opportunities.


Facility Management:


• Supervise facilities maintenance, including repairs, cleaning, and security.
• Develop and implement procedures for building access, safety protocols, and emergency preparedness.
• Manage office space allocation and optimize utilization of resources.


Admin Management:


• Oversee administrative functions such as mail distribution, record-keeping, and inventory management.
• Develop and maintain office policies and procedures to streamline operations.
• Provide administrative support to senior management as required.


In-Office Event Management:


• Plan and coordinate company events, meetings, and conferences.
• Arrange catering, venue booking, audiovisual equipment, and other event logistics.
• Ensure events run smoothly and within budget constraints.


Employee Engagement:


• Implement initiatives to promote employee morale, satisfaction, and productivity.
• Organize team-building activities, recognition programs, and wellness initiatives.
• Act as a liaison between employees and management to address concerns and foster a positive work culture.


Stakeholder Management:


• Serve as a primary point of contact for internal and external stakeholders.
• Communicate effectively with vendors, clients, partners, and regulatory authorities.
• Build and maintain positive relationships to support organizational goals.


Qualifications:


• Bachelor's degree in Business Administration, Management, or related field.
• Minimum of 5 years of experience in office management or similar administrative roles.
• Strong leadership abilities with excellent interpersonal and communication skills.
• Proficiency in Microsoft Office Suite and office management software.
• Ability to prioritize tasks, solve problems, and manage time effectively.
• Knowledge of relevant laws, regulations, and best practices in office management.
• Willingness to work in core night shifts.


Preferred Qualifications:


• Certification in Office Management or Facility Management.
• Experience with budgeting, financial analysis, and contract negotiation.
• Familiarity with HR policies and procedures.
• Creative thinking and event planning skills.
