We are a growing wholesale business dedicated to providing quality products to a range of industries. We're seeking a detail-oriented and proactive Office Administrator to join our team, with key responsibilities in customer service, order management, and office administration. The ideal candidate is someone with strong organizational skills and experience in supporting a fast-paced, wholesale environment.

Key Responsibilities

• Customer Service & Enquiries
• Handle customer inquiries professionally via phone, email, and online chat.
• Follow up on customer questions and requests, ensuring timely responses and resolutions.
• Order & Payment Management
• Track and follow up on pending orders, ensuring customer expectations are met.
• Manage and follow up on customer payments, including online transactions, cheques, and cash payments.
• Order Fulfillment
• Manage the full order execution process from quotation to packing, invoicing, and shipment.
• Coordinate closely with the warehouse team to ensure accurate and timely order dispatches.
• Back Office Duties
• Support general back-office functions, including filing, data entry, and office organization.
• Oversee the checking and verification of incoming consignments for accuracy and quality.
• Warehouse & Inventory
• Conduct monthly stock audits of the warehouse to maintain accurate inventory records.
• Work with the warehouse team to track stock levels and manage any inventory discrepancies.

Qualifications

• Proven experience in office administration or a similar role within a wholesale or trade business.
• Strong organizational and multitasking skills with attention to detail.
• Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with order management systems.
• Excellent communication and customer service skills.
• Ability to work independently and as part of a team.
