• Oversee the day-to-day operations of the office, ensuring a clean, organized, and efficient workspace.
• Manage office supplies inventory and coordinate orders as needed to ensure availability.
• Monitor and maintain office equipment, including computers, printers, phones, and other necessary tools.
• Handle general administrative tasks such as filing, data entry, and managing documents.
• Assist in scheduling meetings, coordinating calendars, and setting up conference rooms.
• Organize and maintain office filing systems, both physical and digital.
• Act as the first point of contact for visitors, clients, and employees, directing them to the appropriate department or individual.
• Answer and direct phone calls, take messages, and respond to inquiries in a professional manner.
• Manage incoming and outgoing mail, packages, and couriers.
• Assist with planning and organizing meetings, workshops, conferences, and company events.
• Prepare meeting agendas, take minutes, and follow up on action items.
• Arrange travel accommodations, transportation, and itineraries for staff or clients as needed.
• Assist HR with onboarding new employees, ensuring proper documentation and orientation.
• Maintain employee records, timesheets, and other personnel files.
• Coordinate employee training sessions and workshops.
• Assist with preparing and processing invoices, expense reports, and purchase orders.
• Support budget tracking and other financial administrative tasks.
• Ensure compliance with office health and safety standards and protocols.
• Maintain safety equipment and emergency supplies.
