Job Summary :
The Night Receptionist is responsible for managing the front desk operations of the hospital during night-time hours. They serve as the primary point of contact for patients, visitors, and staff, ensuring excellent customer service and maintaining smooth administrative operations. This role involves managing inquiries, facilitating admissions or discharges, and supporting security protocols to ensure a safe and welcoming environment.
Key Responsibilities : Customer Service :
• Greet patients, visitors, and staff courteously upon arrival.
• Address inquiries in person, over the phone, or via email, directing them to the appropriate departments as necessary.
• Provide information about hospital services, policies, and procedures.
Administrative Duties :
• Manage patient check-ins, admissions, and discharges, ensuring accuracy in documentation.
• Maintain and update patient records, ensuring confidentiality and compliance with hospital policies.
• Handle incoming and outgoing calls, redirecting them as required.
• Process payments, issue receipts, and assist with billing inquiries when needed.
Coordination and Communication :
• Co-ordinate with medical, administrative, and support staff to address urgent requests or operational needs.
• Communicate effectively with the on-call team or night administrator to resolve issues promptly.
Security and Safety :
• Monitor access to the hospital during night-time hours, ensuring only authorized individuals enter restricted areas.
• Report suspicious activities or security concerns to the appropriate personnel.
Emergency Support :
• Assist in coordinating responses during emergencies, such as contacting on-call staff or alerting emergency services.
• Provide reassurance and direction to patients and visitors during crises.
General Responsibilities :
• Keep the reception area clean, organized, and welcoming.
• Complete shift reports or logs to ensure seamless communication with daytime staff.
Qualifications : Education :
• High school diploma or equivalent (required).
• Additional training in customer service, administration, or healthcare (preferred).
Experience :
• 1-2 years in customer service, reception, or administrative roles (preferred).
• Experience in a healthcare setting (a plus).
Skills :
• Excellent interpersonal and communication skills.
• Strong organizational and multitasking abilities.
• Proficiency with basic computer applications and hospital management systems.
• Ability to remain calm and professional under pressure.
Working Conditions :
• Night shifts, including weekends and holidays.
• Primarily desk-based with occasional walking and standing.
• Exposure to a hospital environment, including interactions with patients in various health conditions.
