About the Job
Better Cotton is recruiting a Membership Coordinator for member monitoring based in India. Better
Cotton is continuously working on improving its member monitoring efforts and in the last year
introduced a revised Member Code of Practice and a revised Member Monitoring Protocol.
This role will support the Membership Manager in ensuring the timely completion of member
monitoring activities in compliance with our Member Monitoring Protocol liaising with members and
other internal stakeholders. This role will be instrumental in continuing the work and further
developing and consolidating the monitoring tools and processes.
This position comes with growth opportunity for a skilled professional wanting to consolidate

positive, dynamic, and quality-oriented individual able to take ownership of our membership risk
assessment activities to ensure the integrity of our membership association.
This role reports to the Membership Manager, responsible for Member Monitoring and
Administration in the global Membership and Supply Chain Team.
Your role and Responsibilities
We are seeking a motivated Membership Coordinator to join our Team. In this role, you will be
responsible for;
Application Process Due Diligence:
• Review new member applications against the membership criteria ensuring all applications
are properly screened and investigate any potential integrity issues.
• Conduct risk assessment of all new applications, reporting and highlighting any risk to the
Membership Manager.
• Contribute to the review of the member application process.

On-going Member Monitoring:
• Conduct desktop research about members that could be in breach of the Member Code of
Practice.
• Assess Code of Practice compliance and recommend actions to be taken in line with the
Member Monitoring Protocol. Compile and present information to the Membership Manager
and senior management for decision making in line with the Member Monitoring Protocol.
• Follow the resolution procedure where applicable, liaising with the member and internal
stakeholders including, if applicable, the complaints management team.
• Ensure all monitoring activities are recorded accurately and timely for regular reporting to
senior management.
• Prepare periodical quantitative and/or qualitative reports of member monitoring activities,
risks identified and any associated action.
Complaints Resolution:
• Support the complaints resolution process as directed by the Membership Manager, liaising
as required with the complaints management team.
• Support the analysis of member complaints received and where applicable propose
improvements to our monitoring processes.
Member Self-Assessment Coordination and Reporting:
• Work with the Membership Manager to develop the annual Member self-assessment plan.
• Coordinate the Member self-assessment survey according to the agreed plan, highlighting
issues or risks as they occur and driving for 100% response from members.
• Collect and review member self-assessment survey data, ensuring all members have
responded and fully completed the survey.
• Ensure member records are maintained up to date in the CRM system.
• Compile the results for an aggregated analysis and further risk assessment.
Code of Practice and Terms of Membership:
• Coordinate the periodical sign-off of the Code of Practice by our members, ensuring 100%
sign-off Code of Practice.
• Contribute to the review of the Code of Practice and other membership documentation.
Due Diligence External Schemes: • Keep abreast of external compliance organisations and prepare summaries of trends and key
information for the Membership Manager.
• Keep abreast of how other similar membership associations conduct member monitoring and
as appropriate suggest changes to Better Cotton monitoring and due diligence practices.
Process Management:
• Support the Membership Manager in ensuring all monitoring processes are fully documented,
in creating and delivering training of the process and related tools for all internal stakeholders.
• Ensure that all monitoring processes are adhered to by staff.
• Ensure all due diligence processes are effective - and efficient - by identifying areas for
process improvements and making recommendations to the Membership Manager; work with

all stakeholders to implement the changes and ensure they are reflected in the process
documentation.
• Suggest recommendations to make the process documentation as efficient as possible.
CRM Tools and Other Tools:
o Ensure all monitoring data is recorded on CRM systems timely and accurately.
• Contribute to systems improvements by suggesting changes, driving the implementation of
changes and assisting with testing as agreed with the Membership Manager or IT teams.
• Ensure screening tools schedules are adhered to.
• Contribute to external screening tools assessment and provide recommendations.
Other opportunities:
In addition to the above, the Membership Coordinator will support the Member Monitoring Manager
and Senior Managers to provide administrative and project support. The Membership Coordinator
therefore delivers other objectives as agreed with the line manager.
We are looking for someone who has
the following skills, knowledge, and experience:

At least 5 years' relevant working experience, e.g. due diligence, social auditing, CSR
University degree, or equivalent higher education qualification, in a relevant field
Excellent analytical and problem-solving skills with a proactive approach to finding and proposing
solutions to challenges
A very high level of proficiency in English, with the ability to communicate clearly, concisely, and
authoritative
Highest attention to detail
Excellent computer skills and IT literacy, including Word, PowerPoint, and Excel
Experience with using Salesforce and/or other CRM tools
Demonstrable organisational skills and proven ability to work autonomously and adapt to
changing priorities and tight deadlines
Proven ability to collaborate effectively across different teams and cultures
Strong integrity and business ethics

Experience organising, documenting user instructions or training materials
Strong relationship building skills, service-oriented attitude, and flexibility/adaptability to work

Working arrangements
The position is full-time (40 hours per week) and will be based in India. Better Cotton offers flexible
working, with core hours being 10am - 4pm and follows a hybrid work setup, in line with our flexible
working policy (dependant on location).
Travel may be required to visit other Better Cotton offices.
