Job Description


Position: Receptionist Location: Madhapur, Hyderabad : 1. Greeting and Welcoming Clients:

  • Welcome clients and visitors with a friendly and professional demeanor.
  • Provide a warm and inviting atmosphere as the first point of contact.
2. Appointment Scheduling:
  • Manage appointment bookings for clients, including hair treatments, consultations, and follow-up visits.
  • Coordinate scheduling to ensure the efficient use of clinic resources.
3. Phone and Email Communication:
  • Answer phone calls and respond to client inquiries, providing information about services, pricing, and clinic policies.
  • Respond to emails promptly and professionally.
4. Check-In and Check-Out:
  • Check clients in for their appointments, ensuring accurate and up-to-date client records.
  • Handle check-out procedures, including payment processing and scheduling follow-up appointments.
5. Client Information Management:
  • Maintain accurate and organized client records, including personal information, treatment history, and preferences.
  • Ensure the confidentiality and security of client data.
6. Payment Handling:
  • Collect payments for services and products, issue receipts, and manage cash registers.
  • Keep accurate records of financial transactions.
7. Client Assistance:
  • Provide information and guidance on available services, products, and promotions.
  • Address client questions, concerns, and issues with professionalism and empathy.
8. Clinic Appearance and Maintenance:
  • Ensure the reception area is clean, organized, and aesthetically pleasing.
  • Report any maintenance issues to the appropriate personnel.
9. Administrative Support:
  • Assist the clinic staff with administrative tasks, such as filing, data entry, and inventory management.
  • Collaborate with the clinic management to streamline administrative processes.
Qualifications:
  • High school diploma or equivalent.
  • Previous experience as a receptionist or in customer service is a plus.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Knowledge of the beauty and hair care industry is beneficial.
  • Proficiency in using office software and appointment scheduling tools.
