Key Responsibilities:
• Reception Duties:
• Greet patients and visitors warmly and professionally.
• Manage the clinic's phone lines, directing calls and taking messages.
• Schedule and confirm patient appointments.
• Maintain patient records and ensure confidentiality.
• Address patient inquiries and provide information about clinic services.
• Handle patient check-ins and check-outs, including processing payments and insurance verification.
• Administrative and Managerial Duties:
• Oversee the day-to-day operations of the dermatology clinic.
• Manage and coordinate the clinic's schedule and staff.
• Ensure compliance with healthcare regulations and clinic policies.
• Maintain inventory of office and medical supplies.
• Coordinate with medical staff to ensure smooth patient flow.
• Assist in the recruitment, training, and supervision of clinic staff.
• Handle patient complaints and resolve issues efficiently.
• Prepare and manage reports, budgets, and financial records.
• Implement and improve office procedures and protocols for efficiency.
• Customer Service:
• Provide exceptional customer service and create a welcoming environment for patients.
• Address and resolve patient concerns and complaints with empathy and professionalism.
• Ensure high levels of patient satisfaction and retention.
• Communication and Coordination:
• Liaise between patients, medical staff, and other departments within the clinic.
• Communicate effectively with external vendors and service providers.
• Organize and facilitate staff meetings and training sessions.
Qualifications:
• High school diploma or equivalent; additional education or certification in office management, healthcare administration, or related field preferred.
• Minimum of 3 years of experience in a receptionist or administrative role, preferably in a healthcare setting.
• Strong organizational and multitasking skills.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite and clinic management software.
• Ability to work independently and as part of a team.
• Strong problem-solving skills and attention to detail.
• Friendly, professional demeanor with a patient-centric approach.
Working Conditions:
