This role involves managing infrastructural assets and working closely with theFinance Manager and Administration Manager to ensure smooth operations and maintenanceof the academy\'s facilities.ResponsibilitiesInfrastructural Responsibilities:Procurement and Contract Management:Call for quotations and finalize contracts for the purchase of items.Ensure timely purchase of infrastructural needs and consumables.Maintain quality standards for all purchases.Keep detailed records for the identification and traceability of purchaseditems.Quality and Maintenance:Plan and implement quality audits for resource management.Ensure safekeeping and maintenance of all school infrastructures.Implement corrective and preventive actions for quality improvement.Achieve quality objectives related to infrastructure and its utilization.Inventory and Hygiene:Maintain an inventory of all school furniture and infrastructure.Manage pest control and hygiene measures.Security and Utilities:Oversee campus security and water supply management.Ensure health facilities are properly maintained.People Management Responsibilities:Staff Management:Assign roles and responsibilities to all administrative staff includingadministrators, housekeeping, security, catering, and transportpersonnel.Supervise and assess the performance of all administrative staff.Manage attendance for administrative and support staff.Coordinate firefighting, disaster management, and other emergencyresponses.Vendor Management:Maintain vendor relationships with service providers for housekeeping,security, transport, landscaping, medical services, and others.Operational Processes:Oversee the maintenance of transport, canteen, housekeeping, and other facilities.Ensure safety and hygiene standards are met.Manage the school operational budget.Maintenance and Records:Maintain inventories of all infrastructural assets for identification and traceability.Keep detailed records of all staff, including application forms, staff details, role andresponsibility details, and performance appraisal records.Maintain resource inventories and utilization records.Keep a file of job applications.Reporting:Furnish quarterly reports to the CEO & Managing Trustee and the Head, Finance &Administration, detailing:All purchases.Any losses, breakages, and thefts.Status and maintenance of infrastructural assets.All vendor related reports (transport, Housekeeping, gardening, security,pest control, etc)Qualifications and ExperienceEducational Qualifications:Bachelor s degree in Business Administration, Facilities Management, ora related field. A master s degree would be a plus.Experience:Minimum of 7-10 years of experience in administration and infrastructuremanagement.Experience in the education or hospitality industry is highly desirable.Background in defense services will be an added advantage.Skills:Strong attention to detail.Excellent organizational and multitasking abilities.Proficient in vendor management and contract negotiation.Strong leadership and people management skills.Excellent communication and interpersonal skills.Ability to handle emergency situations efficiently.Proficient in the use of MS Office and other relevant software.Key Competencies:Leadership: Ability to lead and manage a diverse team of administrative staff.Detail-Oriented: Keen eye for detail to ensure quality and safety standards.Strategic Thinking: Ability to plan and implement effective strategies for resourcemanagement and operational efficiency.Problem-Solving: Strong problem-solving skills to handle various operationalchallenges.Communication: Effective communication skills for reporting and vendornegotiations.
