: We are seeking an experienced and dynamic Events and Facilities Coordinator to join our team. In this role, you will be responsible for planning, organizing, and executing a wide range of events throughout the year to ensure the highest level of employee satisfaction. Additionally, you will oversee the pantry services and maintain the cleanliness standards of our facility. Responsibilities: Program Management: Collaborate with the team to develop a comprehensive event program that includes high-level planning (HLP) and low-level planning (LLP) techniques. Coordinate event logistics, timelines, and resources to ensure smooth execution. Creativity: Demonstrate creative thinking and innovative ideas to deliver engaging and memorable events that align with employee preferences and organizational goals. Speed of Execution: Efficiently manage multiple events simultaneously, ensuring timely execution and meeting deadlines. Proactively address any potential bottlenecks and resolve issues to ensure seamless event delivery. Stakeholder Management: Build and maintain strong relationships with stakeholders, including employees, vendors, sponsors, and management. Effectively communicate with stakeholders, manage their expectations, and ensure their satisfaction throughout the event planning and execution process. Communication Skills: Demonstrate excellent verbal and written communication skills to convey event ideas, instructions, and updates to various stakeholders. Create professional communication materials using tools such as Word and Google PowerPoint. Vendor Management: Source, negotiate contracts, and manage vendors for pantry services, ensuring high-quality offerings and optimal vendor performance. Maintain positive relationships with vendors and conduct regular vendor evaluations. Understanding Employee Pulse: Proactively gather employee feedback to understand their preferences and needs regarding pantry services. Utilize tools like Google Forms to create surveys and analyze data to provide the best possible solutions. Stakeholder Collaboration & Management: Collaborate effectively with employees, management, and vendors to provide exceptional pantry services. Manage stakeholder expectations, address concerns, and maintain positive relationships. Inbound Processing: Oversee the inbound process for pantry supplies, including inventory management, order placement, and timely delivery. Utilize tools like Excel and G-Sheets to track inventory and manage orders efficiently. Facility Cleanliness: Ensure high standards of cleanliness and hygiene in the facility by managing vendors and manpower effectively. Understand and adhere to NBC norms and regulations. Conduct problem-solving and root cause analysis (RCA) to address cleanliness-related issues. Qualifications: Bachelor\'s degree in a relevant field or equivalent practical experience. Proven experience in event planning and execution, with a focus on employee satisfaction. Strong program management skills, including HLP and LLP techniques. Creative thinking and the ability to generate innovative event ideas and concepts. Excellent organizational and time management skills, with the ability to multitask and meet deadlines. Exceptional stakeholder management and communication skills. Proficiency in using tools such as Excel, G-Sheets, Google PowerPoint, Genie (Ticketing system), LinkedIn, Salesforce, and Word. Experience in vendor management and understanding of pantry services and facility cleanliness. Knowledge of NBC norms and regulations related to cleanliness and hygiene.
