KEY RESPONSIBILITIES:
- Design Admin processes for the school including infrastructure management, transport, vendor management, procurement etc.
- Define & execute a road map to centralize some of the critical admin & finance functions of the School.
- To ensure transparency, accountability & efficiency in the schools administrative functioning.
- Managing vendors and ensuring the best negotiations, service level agreements (SLAs) etc.
- Define SLAs for the above processes to ensure quality benchmarks for critical internal and external stakeholders.
- Conduct regular safety and security audits.
- maintain inventory report at the beginning and end of every academic session; maintain the central stock register.
- supervise the security functioning and the subcontracted staff.
- order supplies and equipment/maintain stock and classroom resources and arrange repair where necessary.
- develop and carry out an efficient documentation and filing system for both paper and electronic records.
- School Asset management SOPs, Tracking etc.
- Annual Maintenance Contract (AMCs) of the assets in the organization timely servicing and contract renewal.
- Liaisoning - Liaison with the local police, and municipal and civil departments as per the requirement.
- Timely submission of requisite Admin MIS reports across the Schools.
Facility Management:
- Handling complete facilities (Safety, Security, Repair, Fire Fighting System, Pest Control, Water Supply), infrastructure setup & maintenance and coordinating with external agencies.
- Responsible for maintenance of infrastructure including operation & maintenance of equipment.
- Responsible for effective management of Transport and vehicle maintenance.
- Will be responsible for inventory/ material management & supply chain activities.
- Responsible for renewal of all AMCs related to the school.
- Ensure smooth functioning of Transport.
Procurement:
- Handling the entire gamut of procurements and ensure smooth and timely supply of required material.
- To run a robust procurement process.
- Developing & managing Vendor base.
- Vendor management including evaluation, maintaining of approved vendor list, and vendor audits etc.
- Negotiation of purchases & contracts.
Financial:
- To take care of all purchases and ensure procurement at the most competitive rates.
- To ensure effective control and regular monitoring of all the Admin-related expenses and report the same to management on a regular basis.
- Approval of purchase requisitions, POs & contract Agreements.
- Review and negotiation of confidentiality agreements and clinical site agreements.
- Identify & implement opportunities for Cost optimization in the Works.
- Planning & Budgeting
Compliance:
- Prepare documents for all admin and procurement-related procedures and ensure the same is strictly followed.
- Ensure that the statutory requirements related to the admin function are complied with.
- Ensure that there are no statutory violations.

- Training & Development of the Team Members
