Handle correspondence, including emails, phone calls, and written communications
Ensure timely and accurate completion of reports, presentations, and other documents as required.
Manage the inventory of gifts for the Chairman's Office, including tracking and organizing items for events and special occasions.
Ensure timely distribution of gifts to recipients, maintaining accurate records of inventory and distribution.
Office Operations: Oversee the maintenance and functionality of the Chairman's Office, ensuring a professional and welcoming environment.
Manage office supplies, equipment, and other resources to ensure seamless operations.
Coordinate with IT and other departments to address any technical or operational issues promptly.
Event and Hospitality Management:
Plan and coordinate hospitality services for the Chairman and guests, including accommodations, travel arrangements, and event planning.
Organize and manage events, meetings, and conferences hosted by the Chairman's Office, ensuring all logistical details are handled efficiently.
Maintain relationships with vendors and service providers to ensure high-quality service delivery.
Maintain and update the Chairman's contact list, ensuring accuracy and confidentiality.
Manage communications and relationships with key contacts, including stakeholders, partners, and clients.
Staff Supervision:Supervise and support administrative staff within the Chairman's Office, providing guidance, training, and performance feedback. Foster a collaborative and positive work environment, encouraging teamwork and professional growth.
Budget Management: Prepare financial reports and budget forecasts as required
Compliance and Confidentiality: Ensure compliance with company policies, procedures, and regulatory requirements. Handle sensitive information with the utmost confidentiality and professionalism.Academic Qualification & ExperienceMinimum Bachelor's degree in Business Administration/ Hospitality Management, or a related field.
Minimum of 10 years of experience in administrative and hospitality management role
Experience working in an executive office or supporting senior management.
Knowledge of event planning and hospitality industry standards.
Familiarity with budgeting and financial management. Good excel skills.Technical Skills/KnowledgeProven ability to manage multiple tasks and priorities in a fast-paced environment.
Proficiency in Google Suite and Microsoft Office and other relevant software applications.
Strong problem-solving skills and attention to detail.
