We are seeking an experienced Management Secretary to join our dynamic team. The ideal candidate will provide high-level administrative support to the leadership personnel, ensuring efficient, smooth and timely office operations. Read on to know more about this enticing opportunity!
Key Responsibilities:
• Executive Leadership Support:
• Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.
• Prepare and edit correspondence, communications, presentations, and other documents.
• Act as a liaison between executives and internal/external stakeholders.
• Meeting Coordination & Planning:
• Organize and coordinate meetings, conferences, and events within city and state.
• Prepare meeting agendas, take minutes, and distribute them promptly.
• Ensure meeting facilities and arrangements are efficiently managed.
• Make travel arrangements ahead of schedule with detailed planning.
• Financial Administration & Document Management:
• Handle confidential and sensitive information with discretion.
• Maintain organized filing systems and ensure documents are easily accessible.
• Draft, proofread, and finalize reports, proposals, and presentations.
• Communication:
• Screen and direct phone calls and emails to the appropriate parties.
• Handle inquiries and requests from internal and external contacts.
• Communicate effectively with leadership, team members and other departments.
• Resource Management & Office Administration:
• Manage office supplies and equipment inventory.
• Oversee general office operations and provide administrative support as needed.
• Ensure the office environment is professional, clean, and welcoming.
• Project Assistance:
• Assist in special projects and initiatives as required.
• Conduct research and compile data for reports and presentations.
• Collaborate with team members to ensure project deadlines are met.
Qualifications:
This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
• Education:
• Bachelor's/ Master's degree in Business Administration, Office Management, or related field preferred.
• Experience:
• Minimum of 5 years of proven experience and track record as a secretary or administrative assistant, preferably in a management or executive setting.
• Working in or having worked in education industry will be preferred.
• Skills:
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent verbal and written communication skills.
• Strong organizational and time management abilities.
• High level of professionalism and discretion and absolute integrity.
• Ability to work independently and as part of a team.
• Attention to detail, strong decision making, proactive approach and problem-solving skills.
• Adaptable and a self-driven professional
• This role involves traveling and attending meetings as per requirement and schedule.
