Position Title: Logistics Coordinator

Job Summary:

The Logistics Coordinator for a biscuit factory is responsible for managing the flow of raw materials, finished goods, and associated logistics processes within the factory environment. This role involves coordinating inbound and outbound deliveries, managing inventory levels, assisting with transportation planning, and ensuring the efficient movement of materials to support production schedules. The Logistics Coordinator works closely with warehouse teams, suppliers, production staff, and distribution partners to ensure timely and cost-effective delivery of products, while maintaining high standards of quality and food safety.

Key Responsibilities:1. Inbound Logistics Coordination:

• Raw Material Coordination: Manage the timely delivery of raw materials (e.g., flour, sugar, butter, flavors, and packaging materials) from suppliers to the factory, ensuring that production lines are stocked according to schedule.
• Supplier Liaison: Communicate with suppliers and freight carriers to ensure accurate and on-time deliveries, handling any delays or discrepancies as they arise.
• Delivery Scheduling: Coordinate the scheduling of inbound shipments to align with the factory's production needs, minimizing delays in material availability.
• Receiving & Documentation: Oversee the receipt and inspection of raw materials upon arrival, ensuring that all deliveries are accurately documented (e.g., delivery notes, invoices), and materials meet the required quality standards.

2. Outbound Logistics Coordination:

• Finished Goods Distribution: Coordinate the dispatch of finished biscuits to customers, retailers, or distribution centers, ensuring that products are delivered on time and in full.
• Transport Scheduling: Assist with the scheduling of transportation for finished products, working with third-party logistics providers, transporters, or in-house fleets.
• Delivery Tracking: Track the status of outgoing shipments to ensure timely delivery and proactively address any issues or delays.
• Shipping Documentation: Ensure that all outgoing shipments are accompanied by the appropriate paperwork, including shipping labels, delivery notes, and invoices.

3. Inventory Management:

• Inventory Monitoring: Monitor inventory levels of raw materials and finished goods, keeping track of stock levels to avoid shortages or overstocking.
• Stock Movement: Ensure proper tracking of materials from the warehouse to the production line and from production to storage or dispatch.
• Stock Audits: Assist in performing regular stock audits, ensuring inventory accuracy and addressing any discrepancies between system records and physical stock.
• Warehouse Organization: Coordinate with warehouse staff to ensure that raw materials and finished products are stored in an organized manner, adhering to FIFO (First In, First Out) or FEFO (First Expired, First Out) principles for perishable goods.

4. Supplier and Customer Relationship Management:

• Communication: Act as the main point of contact between suppliers, logistics partners, and the factory's production team to ensure smooth operations.
• Issue Resolution: Resolve any issues related to deliveries, quality of materials, or product distribution in a timely and efficient manner.
• Customer Coordination: Assist the sales team in coordinating delivery schedules to ensure that customer orders are fulfilled on time.

5. Reporting and Documentation:

• Logistics Reports: Generate and maintain regular reports on inventory levels, delivery performance, transportation costs, and any supply chain disruptions.
• Document Management: Ensure that all logistics-related documentation is complete, accurate, and filed appropriately for compliance purposes (e.g., delivery notes, invoices, customs paperwork).
• KPIs and Metrics: Track key performance indicators (KPIs) related to logistics, such as on-time delivery rates, transportation costs, and inventory accuracy.

6. Compliance and Quality Assurance:

• Food Safety Compliance: Ensure that logistics activities comply with food safety regulations, including proper storage and handling of raw materials and finished goods.
• Packaging and Labeling: Ensure that all products are properly packaged and labeled according to regulatory and customer specifications.
• Health & Safety: Support compliance with health and safety regulations in the warehouse and during transportation, ensuring safe practices are followed at all times.

7. Continuous Improvement:

• Process Optimization: Identify opportunities for improving logistics processes, reducing costs, or increasing efficiency in material handling, inventory management, and transportation.
• Technology Integration: Stay updated on logistics software and systems that can streamline operations, assist with tracking shipments, and improve overall performance.

Qualifications and Skills:

• Education: Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field. Certification in logistics or supply chain management (e.g., APICS) is a plus.
• Experience: 1-3 years of experience in logistics, warehouse operations, or supply chain management, preferably within the food manufacturing or biscuit industry.
• Skills:
• Logistics Management: Understanding of logistics operations including inventory management, transportation, and distribution.
• Communication: Strong verbal and written communication skills, with the ability to work effectively with suppliers, customers, and internal teams.
• Problem-Solving: Strong ability to identify and address logistics-related challenges, such as delays, inventory discrepancies, or transportation issues.
• Technical Skills: Familiarity with logistics software, warehouse management systems (WMS), and ERP systems (e.g., SAP, Oracle) is preferred.
• Organizational Skills: Strong ability to manage multiple logistics tasks and deadlines, ensuring smooth coordination between departments.
• Attention to Detail: Focus on accuracy in inventory management, documentation, and quality control.

Working Conditions:

• Full-time position, with occasional overtime during peak production periods or urgent logistics needs.
• Work will be split between an office setting and on-site in the factory or warehouse.
• May require occasional travel for supplier or customer coordination, and to visit logistics or transportation partners.
• Exposure to warehouse conditions, including the need to wear personal protective equipment (PPE) as required by safety regulations.

Job Types: Full-time, Permanent

Pay: ?13,500.00 - ?15,500.00 per month
