Job Summary:We are seeking a highly organized and detail-oriented Litigation Secretary to support our legal team. The ideal candidate will have experience in handling litigation documents, managing schedules, and assisting attorneys with various administrative and legal tasks. This role requires excellent communication skills, a strong understanding of legal procedures, and the ability to work in a fast-paced environment.Key Responsibilities:
  • Document Preparation: Draft, format, and proofread a variety of legal documents including pleadings, motions, subpoenas, discovery responses, and correspondence. Ensure all documents comply with court rules and deadlines.
  • Case Management: Maintain and organize case files, both physical and electronic. Track case deadlines and ensure timely filings.
  • Court Filings: Prepare and file legal documents with various courts, both electronically and in person. Ensure all filings are completed accurately and on time.
  • Calendar Management: Schedule and coordinate court dates, meetings, depositions, and other appointments for attorneys. Maintain and update the legal calendar.
  • Client Interaction: Communicate with clients, opposing counsel, court personnel, and other parties involved in litigation. Handle client inquiries and provide updates on case status.
  • Administrative Support: Assist attorneys with administrative tasks such as billing, time entry, and expense reports. Perform general office duties including answering phones, managing mail, and ordering supplies.
  • Legal Research: Conduct basic legal research using online resources and legal databases. Summarize findings for attorney review.
  • Trial Preparation: Assist in preparing trial materials, including exhibits, witness lists, and trial binders. Coordinate logistics for trial proceedings.
Qualifications:
  • Education: High school diploma or equivalent required. Associates degree or certification in paralegal studies or legal secretarial studies is preferred.
  • Experience: Minimum of 3 years of experience as a litigation secretary or legal assistant in a law firm or legal department.
  • Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal research tools. Strong typing skills and familiarity with legal document management systems.
  • Attributes: Excellent organizational and time management skills. Strong written and verbal communication abilities. Attention to detail and ability to prioritize tasks effectively.
  • Knowledge: Understanding of litigation procedures, court rules, and legal terminology. Ability to draft and format legal documents accurately.
  • Technical Skills: Experience with e-filing systems and legal practice management software is a plus.
