Analyst will examine software license purchases data to ensure data quality, accuracy and completeness before entry into the compliance system of record. Track, maintain and coordinate license and maintenance agreement renewals and procurement.The Analyst will work closely with subject matter experts, including product managers, technical product managers, enterprise vendor managers, and procurement groups to obtain critical vendor and product details required to manage software license compliancy. Overall responsibility is to study and manage vendors software licenses in the Banks software asset management tool, Flexera Network Management Suite (FNMS).ResponsibilitiesThis role is accountable for aligning contract, PO, and discovery data for new or existing software products and vendors into the software compliance SOR - FNMS in support of compliance monitoring of software products. Responsibilities including (not limited to):

  • Onboard new/update existing products in FNMS and adequately prepare for turnover for ongoing compliance monitoring.
  • Verify aligned contract, PO, and discovery data provided is valid and applicable in scope
  • Partner with Technical Product Managers and various stakeholders to clarify contract, purchase discrepancies or inadequacies
  • Escalate procurement, legal or business partner concerns
  • Partner with technical teams to ensure software products are discoverable and no gaps exist
  • Ensure all license data and setup is thorough and correct and a compliance position can be determined
  • Collaborate with monitoring analysts to transition knowledge gained through onboarding process to ensure successful transition of monitoring via acceptance review
  • Works independently, with limited direction, and is evaluated through end results
  • Has extensive functional or professional knowledge
  • Interacts extensively with internal or external contacts to identify, research, analyze and resolve complex problems
  • Update existing license records in FNMS and validate accuracy of information
  • Ensure identified limitations of use are validated by the business partners and to acquire controls in place
  • Collect data for undiscoverable applications and specialized license metrics
  • Participate in driving process improvements.

Foundational skills
  • Understanding of how to resolve the compliance risks and what specific action are needed to be taken.
  • Have interacted in Remediation, Product Owner, 3rd Party Vendor Mgt, Legal, Risk Mgt, and Vendors to manage and resolve compliance issues.
  • Manage Enterprise License true-up & reconciliation. Provide support during software publisher audits. Assist with dispute resolution for resolving non-compliance issues with Remediation support team.
  • Ability to evaluate product compliance positions to understand and manage compliance risks: (strengthen on leadership & engagement
  • Demonstrated ability to identify and quantify compliance risks - particularly over-deployment and limitations of use risks.
  • Provide examples of pervious compliance risk identified against common key enterprise vendors products for IBM, Oracle, Microsoft, BMCetc.
  • Assess & document the compliance risks back to the key contract terms and conditions.
  • Work with Contract Analyst, Procurement, Technology Product Managers and Legal to interpret software agreements, determine and ensure existing software usage complies with use rights and provide key terms and conditions summaries.
  • Identify savings opportunities.
Desired skills
  • Previous 3-5 years of experience using industry standard compliance system of records such as Flexera FNMS, Service Now SAM Module, Aspera, Snow.
  • Ability to understand high level procedures and apply to specific products & license metric

  • How to drive escalation process when issues are encountered in BAU processes
  • Collect technical product data for discovery reviews with Discovery tool team
  • Ability to analyze, interpret, and match data from multiple sources.
  • Ability to quantify the various compliance risks in financial terms.
  • Ability to work with large data sets using pivot tables/excel, SQL, and other BI tools when laying out the detailed facts of a compliance issue.
  • Ability to develop presentations laying out compliance issues with all the relevant history and facts.
