Job Overview:
We are seeking a detail-oriented and experienced Export Document Manager to join our team. The successful candidate will be responsible for ensuring accurate preparation and management of all export-related documentation, ensuring compliance with international trade regulations, and coordinating logistics to support the smooth export of our orthopedic and rehabilitation products.
Key Responsibilities:
• Documentation Preparation & Review: Prepare and verify export documentation, including invoices, packing lists, certificates of origin, bills of lading, and export declarations, in compliance with international shipping requirements.
• Compliance Management: Ensure adherence to relevant regulations, such as customs laws, import/export regulations, and applicable tariffs. Coordinate with regulatory bodies and maintain up-to-date knowledge of export regulations.
• Coordination with Freight Forwarders & Customs Brokers: Collaborate with freight forwarders, customs brokers, and other logistics partners to ensure timely and accurate shipments.
• Order Management: Oversee export orders from receipt to delivery, ensuring all documentation and processes align with the export requirements.
• Shipment Tracking & Reporting: Monitor and track shipments to ensure timely delivery. Resolve any issues that arise during transit or at customs.
• Record Keeping & Filing: Maintain organized records of all export transactions, documentation, and correspondence for audit and reporting purposes.
• Cross-Departmental Collaboration: Work closely with sales, production, and finance teams to coordinate export logistics and provide documentation support.
• Customer Communication: Handle inquiries from international customers regarding export documentation, shipment status, and other logistics-related queries.
Qualifications & Skills:
• Education: Bachelor's degree in International Business, Logistics, Supply Chain Management, or related field.
• Experience: Minimum of 3-5 years of experience in export documentation, preferably in a manufacturing or medical device company.
• Knowledge: Familiarity with international trade regulations, customs procedures, and freight forwarding practices. Knowledge of orthopedic or medical device products is a plus.
• Skills: Strong organizational and communication skills, attention to detail, and the ability to work under pressure and meet deadlines.
• Software Proficiency: Experience with export documentation software, ERP systems, and Microsoft Office Suite (Excel, Word).
• Certifications: Certification in export management or international trade (e.g., CGBP) is an advantage.
Working Conditions:
• Office-based with occasional travel to meet logistics partners and oversee export shipments as needed.
• May require flexibility in working hours to coordinate with international partners in different time zones.
