Job Title: Import/Export & Post-Sales Process Executive

Job Overview:

We are seeking a proactive and detail-oriented Import/Export & Post-Sales Process Executive to oversee the entire post-sales cycle. This role involves managing import/export logistics, coordinating payment follow-ups, ensuring customer satisfaction, and assisting the accounts team with the necessary financial processes. The ideal candidate should have strong communication skills, a good understanding of international trade regulations, and the ability to handle multiple tasks efficiently.

Key Responsibilities:

Import/Export Management:

Oversee the entire process of importing and exporting goods, ensuring timely and accurate shipments.

Prepare and manage all necessary documents for customs clearance (invoices, packing lists, bills of lading, etc.).

Coordinate with logistics partners, suppliers, and customers to ensure smooth and timely delivery of goods.

Track shipments and communicate with relevant teams to resolve any delays or issues.

Ensure compliance with all international trade regulations and customs requirements.

Payment Follow-Up:

Monitor and track payments post-sales, ensuring timely receipt of payments from clients.

Coordinate with customers regarding payment terms, invoice queries, and overdue accounts.

Send payment reminders and follow-ups to customers as necessary.

Maintain accurate records of payment status and provide regular updates to the accounts team.

Resolve payment discrepancies and issues in collaboration with the accounts department.

Customer Follow-Up:

Act as the primary point of contact for customers post-sale to ensure their satisfaction with products/services.

Address any concerns or issues raised by customers in a timely manner, offering solutions where necessary.

Maintain ongoing communication with customers to build long-term relationships and ensure repeat business.

Gather customer feedback and provide it to the relevant teams for improvement in services or products.

Sales Process Support:

Assist the sales team with order fulfillment and post-sales documentation.

Ensure that all sales-related documentation is accurately processed and stored.

Collaborate with the sales department to ensure that customers are fully satisfied with their purchases.

Collaboration with Accounts Team:

Work closely with the accounts department to ensure smooth financial transactions.

Assist in the reconciliation of accounts and ensure that all payments are accurately recorded.

Provide support during audits by ensuring all post-sales and payment records are properly maintained.

Reporting & Documentation:

Maintain and update records of import/export shipments, payments, and customer interactions.

Prepare regular reports on payment status, shipment tracking, and customer follow-up activities.

Ensure that all post-sales documentation is completed and filed in accordance with company policies.

Required Skills and Qualifications:

Bachelor's degree in Business Administration, Accounting, International Business, or related field.

Minimum of 2-3 years of experience in import/export, payment follow-ups, or customer service.

Strong understanding of international trade, customs documentation, and payment processes.

Experience with accounting software and MS Office Suite (Excel, Word, etc.).

Strong communication and interpersonal skills to handle customer interactions effectively.

Detail-oriented with excellent organizational skills and the ability to multitask.

Ability to work under pressure and meet deadlines.
