People and Organisation (P&O) function designs strategies for Recruitment, Performance Management, Learning & Development, Total Rewards, Mobility, Reporting, and Analytics. Global Business Services (GBS) People Operations (PO) is a department within P&O situated in GBS Bangalore. As an HR Professional II, you will:
Support the RED Global Marketing Team members and the Corporate Vice President with business-critical, financial, and administrative tasks. Evaluate and consolidate tasks performed by team members to ensure high-quality output. Provide support in optimizing tasks and processes. Offer ad-hoc administrative support to the team (e.g., business card orders, photo uploads, PPT/Excel preparation). Arrange department activities, including necessary logistics (e.g., team meetings, training courses, seminars, offsites). Manage relevant RED content platforms and distribution lists (e.g., email groups, Brand Portal, Share Drive, SharePoint).

  • Support monthly management ad-hoc financial reporting, including invoice processing, drafting, and finalizing contracts (PO/PA/SATA/). Prepare templates for accruals and re-postings and submit expense reports for team approval.
  • Monitor the team's travel to ensure CO2 emissions are accounted for. Support strategic projects and initiatives of the RED franchise in the current and future portfolio (e.g., congress support, Veeva portal support, ad-hoc market research support).
  • Manage the team's email groups, ensuring they are up to date and making necessary changes. Assist financial partners in reviewing budget trackers for the team.
  • Identify better practices and create improvements in methods, techniques, and approaches. Develop a personal understanding of the business and workforce.
  • Take complete ownership of deliverables from end-to-end with a mindset of continuous improvement and share recommendations with the reporting manager. Ensure superior customer satisfaction by delivering high-end quality support on a timely basis.
Qualifications
We are looking for candidates who possess the following qualifications:
  • Bachelor/Master's degree within business or HR relevant academic degree at minimum bachelor level (e.g., Business Administration).
  • Minimum 2-4 years of relevant experience as an Executive Assistant or administrative background.
  • Excellent knowledge and experience working with MS Office applications (PowerPoint, Excel, Word, Teams, SharePoint).
  • Self-managed, responsive, and dedicated to customer support with the ability to manage and prioritise multiple work requirements to meet deadlines.
  • Financial support experience in management ad-hoc financial reporting, including invoice processing, drafting, and finalising contracts (PO/PA/SATA/).
  • Ability to collaborate and communicate with different stakeholders.
  • Hands-on experience in managing project teams and other stakeholders in handling calendars and setting up meetings.
  • Excellent written and oral communication skills. Excellent interpersonal skills, with the ability to develop strong working relationships and effectively influence all levels of the business.
  • Demonstrated capability to take ownership and accountability of deliverables assigned.
  • Conceptual, analytical, and tactical thinking with a strategic thought process.
  • Good communication and negotiation skills.
