Job Overview:
We are seeking a dynamic HR and Office Administration Specialist who will manage human resources functions while also overseeing office operations and documentation. This role requires a versatile professional capable of handling diverse responsibilities to ensure smooth functioning of the organization.
Responsibilities:
HR Management:
- Develop and implement HR strategies and initiatives aligned with the company's objectives.
- Manage the recruitment and selection process, including job postings, screening, and interviewing.
- Support employee relations by addressing demands, grievances, or other issues.
- Oversee performance management systems to drive high performance and employee engagement.
- Maintain and administer employee benefits programs and ensure compliance with legal requirements.
- Conduct training needs assessments and coordinate training programs as necessary.
- Ensure legal compliance throughout human resource management.
Office Administration:
- Coordinate office activities and operations to ensure efficiency and compliance with company policies.
- Supervise administrative staff and delegate responsibilities to ensure tasks are completed promptly.
- Manage office supplies, equipment, and facilities to support daily operations.
- Handle scheduling, appointments, and travel arrangements for management.
- Assist with budgeting and financial record-keeping procedures.
- Prepare reports, presentations, and proposals as needed.
- Serve as the point of contact for vendors, suppliers, and service providers.
Documentation and Communication:
- Plan, develop, and maintain operational procedures, manuals, and documentation.
- Produce clear and concise documentation that supports operational processes and procedures.
- Update and revise technical documentation to ensure accuracy and clarity.
- Collaborate with stakeholders to gather information and ensure documentation meets organizational standards.
- Maintain a comprehensive library of technical terminology and documentation resources.
Requirements:
- Proven experience in HR management, office administration, and documentation specialist roles.
- Strong understanding of HR best practices, labor laws, and employee relations.
- Excellent organizational and leadership skills with the ability to prioritize tasks and delegate when necessary.
- Outstanding written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other office management software.
- Attention to detail and the ability to deliver high-quality work under tight deadlines.
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
Preferred Qualifications:
- Certification in Human Resources (e.g., SHRM-CP, PHR) is a plus.
- Additional training or certification in office management or technical writing would be advantageous.
