In relation to staff recruitment
Be fully aware of every aspect of the school philosophy, pedagogy, infrastructure,
facilities, strengths and achievements and be able to create a positive impression on good
candidates and motivate them to join the school.
Be aware of and keep update with specific educational, professional qualifications and
requirements for every position in every department. Keep update of the various
statutory requirements or regulations from CISCE as well as state government or
Ministry of HRD for teacher qualifications and eligibility.
Maintain work profiles for every position.
Be aware of the various mediums of advertising recruitments and procedures Prepare
creative advertisements for recruitments and depending on the position, choose the
appropriate mediums of advertising the recruitment and do follow up on the success /
review till the vacancy is filled with an appropriate candidate.
Follow up and attend campus interviews, drive from various teacher education
institutions and create a digital database of good teachers.
Maintain relations with the teacher education institutions for being update with campus
recruitment schedule and getting their students for internship in the school.
Maintain a database of interns who were found good during their internship and get their
data added to the prospective candidates for recruitment.
Coordinate with the concerned Head of Department for the internship schedule and be
the point of contact for execution of the internship and ensuring logistics for the same.
Coordinate with the admin team for vacancies generated.
Identify suitable candidates by advertising / posting vacancies / scanning resumes
received.
Follow up with the recruitment till vacancy is filled by following all steps in the SOP
Including conducting preliminary interview of candidates and identifying who are
capable for the next level of procedure and drafting appointment letters and service
agreements for newly recruits.
Create case studies and interview questions for different kinds of posts. Review the SOP
for staff recruitment and make necessary changes after approval of the Principal.
Keep an organized documentation of resumes as per posts as well as quality / preference.
Be aware of and execute all protocols in recruitment on probation and then eventually
confirmation / termination.
Conduct induction and induction session with new joinees.In relation to existing / recruited staff Being aware of the qualifications, potentials of existing staff and identifying scope for in-
house promotion in case of any posts being generated.
Maintaining a record of trainings / workshops and other professional development
programmes attended by staff and also identify such opportunities and inform the
Principal about the same.
Maintain all documentation for staff and keep the staff files updated- digital and hard
copy to be maintained.
Keep a track of appreciation as well as warning / memos issued and their necessary
documentation.
Initiate disciplinary action against staff member identified by the Principal and follow
necessary process for the same.
Generate reports, make presentations based on staff data.
Maintain all documentation regarding staff appraisals. Initiate the procedure and ensure
its execution and completion (twice a year).
Keep track of various rules, laws, government resolutions which have an impact on any
aspect of staff. Update the same to the management and Principal.
Keep track of staff on probation and initiate process of confirmation /termination before
the end of probation period.
Keep track of staff retiring / leaving and co-ordinate with Principal for appointment /
inhouse transfer to the position.
Initiate salary processing every month. Check and verify the salary reports.
Keep record of increment trajectory.
Initiate celebrations for Shishuvan Birthday and felicitation of staff, lunch programmes
for staff, celebration of staff birthdays, achievements of the school, staff outstation
training, farewell functions and other festivals and celebrations for staff.
Propose programmes, policies, benefits, experiences that will enhance work space
efficiency and employee motivation and integrity and execute the same.
Maintaining and update service record and trajectory of every staff member.
Draft, execute and analyse any feedback taken from staff for events / policies / general.
Keep monitoring on attendance record of every staff member on regular basis and
highlight habitual late comers, absentee employees and report any irregularities to the
Principal.
Ensure that interactions of staff members with the Principal and management is held
atleast twice a year.
Maintain record and execute handover and takeover of assets and other material to staff.
Maintain annual record of staff recruited and staff left.
Conduct regular meetings with the HODs and incharges to track progress of staff
members and feedback on their performance.
In relation to Staff leaving
Ensure that all formalities of staff leaving are completed before the last day and clearance
from all departments is received.
Follow-up for all settlements of the staff member leaving the school. Conduct exit interview of the staff member leaving the school.
In relation to Support staff
Along with the Housekeeping in-charge allocate duties for support staff - routine, during
vacation and during events.
Identify their training requirements and accordingly arrange for the same.]
Do surprise visits and inspect the quality of work.
Give feedback and conduct meetings to upgrade the quality of work performed by the
support staff and address any concerns in regards to it.
Explore good practices and empower the support staff to execute them.
Safety and security
Coordinate with the security agency to monitor the quality of security offered, resolve
concerns to any particular security guard/s.
Make changes in duties / required number subject to approval by the Principal and
management.
Review the security contract and get it signed / renewed.
Review and create systems for safety and security in the school.
Coordinate with the Nurse and monitor the health facility infrastructure, equipment and
processes in the school. Ensure proper documentation is maintained for students and
staff accessing the infirmary.
Propose, initiate and execute heath checkup and other fitness, wellness and health related
workshops, training programmes for students, parents and staff.
Establish and create awareness of safety and security protocols for all staff members.
Take initiative to foster positive interpersonal relations and support in conflict
resolutions.
Meet newly inducted staff to gauge their settling and challenges. Meet staff members on
routine basis to understand their concerns and review need for any resources or review of
policies and communicate to the Principal and the Management.Documentation - Policies, Formats & Standard Operating Procedures
Create, review and edit policies, formats and Standard Operating Procedures (Staff
recruitment, Staff exit, Staff retirement, Staff training, Staff appraisal, Staff
documentation, Staff welfare, Staff salaries and benefits / perks, Safety and security,
Logs for Housekeeping, Staff qualifications and work profiles and any other areas
related to above work profile)
Additions / changes are done to the work profile /job description by the Management /
Principal as per the requirements of the institution.
