Job Summary:
The HR & Administration Executive is responsible for providing comprehensive administrative support to the HR and Administration departments, ensuring the efficient operation of office functions and facilitating smooth HR processes. This role involves managing day-to-day HR activities, office management, and ensuring compliance with company policies.
Key Responsibilities:
1. HR Responsibilities:
- Assist in recruitment processes including job postings, resume screening, scheduling interviews, and onboarding new hires.
- Maintain and update employee records and HR databases.
- Assist with employee relations issues, providing support and resolving conflicts as needed.
- Coordinate and manage employee training and development programs.
- Handle payroll processing and ensure timely payment of salaries.
- Manage employee benefits programs and address employee queries related to benefits.
- Ensure compliance with labor laws and company policies.
- Assist in the development and implementation of HR policies and procedures.
2. Administration Responsibilities:
- Oversee general office operations, including office maintenance, supplies, and equipment management.
- Manage administrative staff and allocate tasks as necessary.
- Coordinate office activities and meetings, including scheduling, preparing agendas, and taking minutes.
- Handle travel arrangements and logistics for employees.
- Ensure the office environment is clean, safe, and conducive to productivity.
- Manage vendor relationships and negotiate contracts for office supplies and services.
- Assist with budget preparation and expense tracking.
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- 2-4 years of experience in HR and administration roles.
- Strong knowledge of HR practices and office management procedures.
- Excellent communication and interpersonal skills.
- Proficiency in HR software and Microsoft Office Suite.
- Strong organizational and multitasking abilities.
- High level of discretion and confidentiality.
