We have the exciting role of HR Operations Assistant who would be responsible for reporting to the HR Advisor, with additional mentoring and support from the HR Director and Senior L&D Manager.

• The Operations Assistant sits in our Business Management team and is located in Hyderabad. The role is to assist the operation departments to create a positive employee experience, by supporting the HR, L&D and finance team.

• The Role
• The focus of this role is to assist the operation departments to create a positive employee experience, by supporting the HR, L&D and finance team.
• The Operations Assistant should have strong attention to detail, be extremely thorough and precise.
• You will understand the importance of confidentiality and discretion and have a service minded approach.
• The Team
• The Operations Assistant will provide operations services to the agency & other teams based in the London office, which consists of approximately 190 employees.

• This role will be reporting into the HR Advisor, with additional mentoring and support from the HR Director and Senior L&D Manager.
• This role will work closely with the London HR, L&D and Finance team.

The Work:

• Starter & Leaver Administration
• Facilitate creation of offer letters of employment & contract paperwork.
• Co-ordinate with the HR Advisor to draft probation letters

• Draft relevant letters confirming leave details



• Manage HR related invoices with the finance team

• Draft freelance agreements for the HR Advisor to review

• On-boarding
• Maintain the HR starters and leavers spreadsheet, ensuring it is always up to date with new starters, leavers, fixed term contractors, freelancers, maternity, paternity & shared parental leave details.
• Co-ordinate new starter immersions.
• HR Systems Administration & Reporting
• Update organisational charts and Who's Who regularly.
• Manage the administration of our performance management system, running reports when required for activities such as appraisals.
• Assist with preparation of data for Omnicom and external HR audits.
• General Administration
• Draft pay review and bonus letters.
• Respond to general HR queries within the designated timeframe, including reference requests and business invitation letters for foreign travel.
• Provide general administration assistance to the HR and Recruitment team.
• Provide support to the HR Manager when rolling out projects such as: D, E&I & Mental Health & Wellbeing initiatives.
• Training Administration
• Set up new training vendors with finance
• Raise invoices for London and APAC
• Send training feedback forms and collate results after each workshop.
• Support the L&OD Manager with ad-hoc UK training administration, which may include booking of courses, rooms, and catering, and raising PO's.
• Work with the L&OD Manager to ensure attendee lists are updated for all training courses and saved to file.
• Provide administrative support to the L&D Manager for the IPA CPD annual accreditation.



• Finance Administration

• Support the team with the Golden bears benefit administration and track accordingly
• Cycle2Work Scheme administration support
• Fitness First gym benefits administrative support
• Freelancer invoices and tracker
