Client Reception and Engagement
• Greet and welcome clients and visitors, ensuring a warm and professional first impression that reflects the company's brand and values.
• Manage the front desk by answering phone calls, responding to inquiries, and directing clients to the appropriate department or staff member.
• Maintain a visitor log, ensuring accurate records of appointments and client visits.
• Offer beverages or refreshments to clients upon arrival and ensure their comfort while they wait.
• Engage with clients in a courteous manner, addressing their needs or queries and providing them with relevant information about the company's products or services.
Appointment Coordination and Scheduling
• Manage appointment calendars for sales associates, designers, or managers, ensuring meetings are scheduled efficiently and without conflicts.
• Coordinate with the sales and design teams to ensure client meetings run smoothly, including preparing meeting rooms and materials.
• Send appointment reminders and follow-ups to clients, ensuring they are informed and reminded of upcoming engagements.
• Assist in organizing client appointments with interior designers, ensuring alignment with project timelines and availability.
Administrative and Support Functions
• Handle basic administrative tasks such as filing, data entry, and maintaining front desk records.
• Ensure that brochures, catalogs, and other promotional materials are readily available at the front desk for clients to review.
• Manage incoming and outgoing mail and deliveries, ensuring timely distribution to the appropriate departments.
• Coordinate office supply orders, ensuring that the front desk and meeting areas are well-stocked with necessary items.
Communication and Coordination
• Act as a liaison between clients and the sales, design, and operations teams, ensuring clear communication and seamless handovers.
• Provide basic information about the company's products, services, and design philosophy to clients when required.
• Assist in managing internal communication by forwarding messages and coordinating with relevant departments to ensure timely responses.
• Keep track of customer feedback, complaints, or requests, and relay them to the appropriate department for resolution.
Recurring Tasks
• Ensure the front desk and reception area are always clean, organized, and professionally presented.
• Regularly update the client database with new information obtained from client visits or inquiries.
• Assist with general office duties, such as photocopying, printing, and scanning documents.
• Assist in organizing small in-store events, ensuring all client-facing materials are prepared.
