Job Description

The Quality & PMO Coordinator will enhance the efficiency and effectiveness of the GFS Project Management Office (PMO) and Quality Management functions by identifying and implementing process improvements, promoting a culture of continuous improvement, and maintaining comprehensive documentation. The role will support the coordination of PMO activities, ensure accurate and timely project status reporting, and facilitate effective change management and communication strategies. Additionally, provide administrative support to the GFS Leadership Team, ensuring smooth operation of GFS events and activities, and fostering a collaborative and high-performing work environment.



Quality & Continuous Improvement (Q&CI) :


• Identify opportunities for process improvements within the PMO and quality management functions.
• Promote a culture of continuous improvement within the organisation.
• Assist in gathering and organising data required for CI and quality management reporting.
• Maintain CI and quality management documentation and associated updates.
• Support the preparation of reports on the effectiveness of corrective actions.
• Help prepare documentation and presentations related to the promotion of quality management and quality standards.
Administer certificate creation and distribution and support the management of rewards.


Project Management Office (PMO) Coordination:

• Support the establishment and maintenance of PMO processes and standards.
• Maintain and ensure regular updates on the Projects List.
Prepare and distribute regular project status reports.


Change Management and Communication Support:

• Communication:
• Training and Event Coordination:
• Draft and distribute change announcements and updates via email or internal platforms.
• Maintain and update content on intranet or SharePoint sites
• Create and publish communication materials such as newsletters, bulletins, and posters.
• Manage all internal communications, including GFS-wide email communications.
• Manage the GFS profile on Wood's Viva Engage Communities and promote GFS to the wider Wood community.
• Schedule and coordinate training sessions and workshops as and when required my GFS stakeholders.
• Prepare training materials and handouts under the guidance of senior staff.
• Track attendance and feedback from training sessions.
• Provide logistical support during training events, such as setting up equipment and materials.
• Feedback and Campaign Support:
• Collect and compile feedback from stakeholders regarding changes and support periodic surveying, such as Finance and P&O Stakeholders surveys and all-employee open questionnaires.
Support and promote company-wide campaigns within GFS, such as Sustainability and Learning & Development Hubs.


GFS Administrative Support:

• Support the GFS Leadership Team with Townhall preparation.
• Create content for various GFS events or activities, including PowerPoint presentations.
• Maintain GFS distribution lists and membership of Teams/SharePoint sites.
• Schedule and conduct GFS Induction Session.


Qualifications:

• Graduate in any field.

Knowledge:

• Quality management principles and methodologies (e.g., ISO, Six Sigma, Lean).
• Project management frameworks (e.g., PMBOK, PRINCE2).
• Process improvement techniques and data analysis.
• Change management principles.
• Internal communication platforms (e.g., Viva Engage, SharePoint).

Skills:

• Analytical thinking and problem-solving.
• Attention to detail.
• Proficiency in quality management and project management software.
• Organisational and multitasking abilities.
• Effective written and verbal communication.
• Creating and managing digital content.
• Preparing reports and coordinating events and training sessions.

Experience:

• Roles in quality management, continuous improvement, PMO coordination, and change management.
• Data collection, analysis, and reporting.
• Preparing documentation and supporting leadership teams.
• Administrative support, coordinating meetings and events.
• Managing internal communications.
