We are seeking a highly skilled and detail-oriented individual to join our team as a GeM Portal Executive. In this role, you will play a crucial part in supporting our tender and bid processes, as well as assisting with documentation and listing on GeM portals.
Job Responsibilities:
• As a GeM Portal Executive, you will be responsible for managing and facilitating our organization's participation in tender and bidding processes government e-marketplace platforms, with a particular focus on Gem portals. You have to ensure that all necessary documentation and information are submitted accurately and on time. Your attention to detail and ability to navigate GeM portals effectively will be critical to our success in securing government contracts.
Key Responsibilities:
• A Monitor GeM portals and other e-procurement platforms to identify relevant tender opportunities aligned with our organization's capabilities and objectives.
• Collaborate with the sales and business development teams to understand customer requirements and develop tailored bid strategies.
• Prepare and compile tender and bid documentation, including RFP/RFQ responses, technical proposals, and commercial offers.
• Ensure compliance with tender requirements, including document formatting, submission deadlines, and necessary attachments.
• Coordinate with internal teams to gather information and data necessary for tender submissions, such as technical specifications, pricing, and legal documents.
• Conduct thorough reviews of tender documentation to identify any inconsistencies, errors, or omissions before submission.
• Liaise with external partners, subcontractors, or vendors to gather required documentation and ensure their timely submission.
• Maintain a comprehensive library of tender documents, templates, and reference materials for future use.
• Stay updated on GeM portal guidelines, changes, and best practices, and provide recommendations for process improvements.
• Assist with the registration, renewal, and maintenance of our organization's profile on GeM portals and other e-procurement platforms.
Qualifications and Skills:
• Bachelor's degree in Business, Commerce, Procurement, or a related field. Additional certifications in procurement or bidding processes are advantageous.
• Proven experience in managing tender and bid processes, preferably within the government or public sector.
• In-depth knowledge of GeM portals and other e-procurement platforms, including their functionalities, processes, and submission requirements.
• Strong understanding of tendering procedures, contract documentation, and compliance requirements.
• Excellent written and verbal communication skills, with the ability to articulate complex information concisely and persuasively.
• Exceptional attention to detail and organizational skills to manage multiple bids simultaneously and meet strict deadlines.
• Proficiency in using Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
• Familiarity with document management systems and tools for efficient organization and retrieval of tender-related information.
• Collaborative and proactive mindset, with the ability to work effectively both independently and as part of a team.
• Strong analytical and problem-solving abilities, with a focus on delivering high-quality and accurate bid documentation.
