Job Summary:

We are seeking a professional, friendly, and highly organized Receptionist to manage our front desk operations and provide excellent customer service to visitors and employees. The Receptionist will be the first point of contact for the organization, responsible for answering phones, greeting visitors, handling administrative tasks, and ensuring smooth office operations

Key Responsibilities:

- •Greeting Visitors:• Welcome visitors in a courteous, professional, and friendly manner. Ensure that they are properly signed in and directed to the correct department or individual.

- •Managing Phone Calls:• Answer incoming calls, route them to the appropriate person, and take detailed messages as needed. Handle inquiries in a professional manner.

- •Scheduling Appointments:• Assist in scheduling appointments, meetings, and conferences for staff, maintaining accurate calendar entries.

- •Administrative Support:• Perform various administrative tasks including filing, faxing, photocopying, and organizing documents.

- •Mail Management:• Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail and shipments.

- •Office Supplies Management:• Monitor and replenish office supplies, ensuring that all necessary materials are available for daily operations.

- •Data Entry:• Enter and maintain accurate information in company databases, including customer records and visitor logs.

- •General Office Management:• Maintain a clean and organized reception area. Ensure the front office is always presentable and welcoming.

- •Customer Service:• Provide exceptional service to clients, customers, and employees. Address inquiries, resolve issues, and ensure all visitors feel welcomed and assisted.

- •Other Duties as Assigned:• Perform additional administrative or clerical tasks as needed by the office manager or supervisor

Required Skills and Qualifications:

- High school diploma or equivalent (Associate's degree or higher preferred)

- Proven experience as a receptionist, front desk representative, or similar role

- Professional appearance

- Excellent communication skills, both verbal and written

- Strong organizational and time management skills

- Proficiency in MS Office (Word, Excel, Outlook)

- Knowledge of office management systems and procedures

- Ability to handle multiple tasks and work in a fast-paced environment

- Customer-oriented with a positive attitude and the ability to stay calm under pressure

- Strong attention to detail and confidentiality

Preferred Skills:

- Experience with office management software (e.g., scheduling tools, customer management systems)

- Bilingual abilities (if applicable)

Working Conditions:

- Full-time position

- Location: Gurgaon

Job Types: Full-time, Permanent

Pay: ?20,000.00 - ?25,000.00 per month
