Qualification: Graduation/ Diploma
Experience: 5 yrs & Above in the same industry is preferred.
1. The post holder is able to act on their own initiative, within broad procedural guidelines and without direct supervision
2. Handling enquiries and guiding patient duly to be courteous while dealing with patients and bystanders and to ensure that all customers are attended promptly and ensure the highest care constantly.
3. Act as a liaison for all IP & OP registration and billing related queries.
4. To ensure and monitor all IP & OP registration and update the system software.
5. To ensure and audit the internal system software for comparison of OP billing with payments.
6. To ensure and coordinate with Medical Record department for distributing Medical record documents if any emergency.
7. To ensure and coordinate with doctors for registration and updating to front desk.
8. Clear all the doubts and give information about the OP billing and its cost implications to patient.
9. Handling of complaints, minimize the customer complaints especially with regard to OP patients by ensuring highest level of Customer care and ecstasy.
10. Any flared up situations to be attended immediately and to be sorted amicably.
11. Give personalized care to promoters/investors/Doctors and VIP'S and the people referred by them for surgery as well as other normal queries.
12. Taking care of all types of customer needs with special emphasis on surgery related patients.
13. Give a report on daily basis to the Assistant Manager regarding any complaints/Suggestions received from the customers.
14. Ensuring smooth functioning of all receptions including ED/Causality.
15. Daily and Monthly reports to be sent to Operations Manager.
16. Allocating Staff for relieving duty & ensuring the counters function throughout.
17. Create staff duty roster for all counters.
18. Attend to crisis or emergency situations and handle all matters related to it.
19. Supervise the customer related activities in OPD and analyze the complaints of customers and identify the root cause of the issues and solve it to highest level of satisfaction.
20. To assist to Admission counseling & completing admission formalities.
21. Ensuring effective administration systems, communication mechanisms and procedures are in place to support the work of the practice and to ensure the delivery of a high quality administration service provided on a daily basis to patients, doctors and staff
22. Acting as the line manager to staff on lower grade and responsible to the higher authority, coordinate activities within the practice front office and billing area
23. Maintain inventories and arrange replacement of stocks as required. Responsible for the management of all internal stationery and supplies within the department and recording of control stationery
24. Ensure strict adherence to the practice's computer security protocols
25. Analyze existing working practices and suggest alterations designed to ensure efficient service delivery to the patients
26. Monitor and evaluate staff performance through frequent contact with staff to ensure staff implement decisions and work within the practice's policies, procedures and strategic planning
27. Compilation of staff duty roster on rotational basis for all staff in the department and arrangements for appropriate substitution during the staff absence
28. Promote good staff relations and motivation, act as the first line manager in the investigation of grievances
29. Identification of staff training needs. Participate in the delivery of in-house training
30. Any other tasks or responsibilities assigned by superior from time to time
