Job Overview:

The Front Office Executive or Receptionist will be the first point of contact for visitors and callers. This role requires exceptional communication skills, a professional appearance, and the ability to manage administrative tasks efficiently. The individual will be responsible for ensuring smooth front-office operations, assisting with client queries, managing phone lines, and supporting other office functions.

Key Responsibilities:

• Reception Duties :
• Greet and welcome visitors with a friendly, professional demeanor.
• Direct visitors to the appropriate person or department.
• Answer and direct phone calls in a timely manner.
• Respond to emails and other inquiries promptly.
• Administrative Support :
• Schedule and coordinate meetings, appointments, and conferences.
• Maintain the front office area, ensuring it is clean and organized.
• Handle incoming and outgoing mail, packages, and deliveries.
• Manage office supplies and reorder when necessary.
• Maintain and update company directories.
• Client and Visitor Management :
• Maintain a log of visitors, ensuring all details are recorded.
• Ensure security procedures are followed for all visitors.
• Provide information about the company, its services, and office policies.
• Document Handling :
• Assist in filing, scanning, and organizing documents.
• Prepare and process routine correspondence, memos, and forms.
• Data Entry :
• Enter and maintain client or visitor information into the company database or CRM.
• Update internal records, and assist in maintaining office schedules.
• Support to Management and Team :
• Assist in basic HR duties such as maintaining attendance records.
• Coordinate with other departments to ensure smooth operations.
• Support any other administrative tasks as requested by the manager or team.

Skills :

• Excellent communication skills, both verbal and written.
• Strong organizational and multitasking abilities.
• Proficiency in MS Office (Word, Excel, Outlook).
• Ability to handle sensitive and confidential information.
• Strong interpersonal skills and a friendly, professional attitude.
• Ability to work independently and as part of a team.
