The Front Office Executive is the first point of contact for guests and plays a key role in delivering a seamless, personalized experience at our 10-room villa. This individual is responsible for handling guest check-ins, reservations, guest inquiries, and providing exceptional hospitality that reflects the villa's standards. They also assist with administrative tasks to ensure efficient operations.
Key Responsibilities Guest Relations
• Welcome and greet guests warmly upon arrival, providing a smooth and friendly check-in experience.
• Address guest queries and concerns promptly and professionally, ensuring guest satisfaction throughout their stay.
• Provide information on villa amenities, nearby attractions, and available services.
• Arrange special requests for guests, such as transportation, reservations, or villa services.
Reservations & Booking Management
• Manage reservations via phone, email, and online booking platforms.
• Update room availability and pricing on relevant systems and communicate with booking agents as needed.
• Handle cancellations, amendments, and special requests for bookings efficiently.
Check-In & Check-Out Procedures
• Conduct smooth check-ins and check-outs, including handling payments and invoicing.
• Ensure accurate guest records, payment details, and billing information are recorded.
Administrative Duties
• Maintain an organized front desk area, including guest records, reports, and filing systems.
• Keep the front office stocked with necessary supplies.
• Assist in preparing reports for management regarding occupancy rates, guest feedback, and any issues or improvements.
Coordination with Other Departments
• Liaise with housekeeping and maintenance to ensure timely room preparation and upkeep.
• Communicate with the kitchen staff regarding guest preferences and dietary requirements if applicable.
• Work closely with villa management to ensure smooth daily operations and provide guest feedback for improvement.
Qualifications and Skills
• Bachelor's degree or diploma in Hospitality, Hotel Management,
• 2+ years of experience in a front office or guest relations role, preferably in a boutique hotel, resort, or villa setting.
• Strong communication and interpersonal skills, with a friendly and welcoming personality.
• Proficiency in front office software (PMS) and Microsoft Office Suite.
• Ability to multitask and work under pressure in a dynamic environment.
• Problem-solving skills and a proactive attitude.
• Flexibility to work in shifts, including weekends and holidays.
