Job Summary: We are seeking a highly organized and professional Front Office Executive to be the face of our company and provide excellent customer service to our clients and visitors. The Front Office Executive will be responsible for managing the front desk, handling administrative tasks, and ensuring a positive first impression for all who enter our office. Key Responsibilities: 1. Front Desk Management: Greet and welcome visitors, clients, and employees in a warm and professional manner. Answer phone calls and redirect them to the appropriate department or individual. Maintain a clean and organized front office area. 2. Customer Service: Provide exceptional customer service by addressing inquiries, resolving complaints, and assisting with information requests. Ensure all visitors have a positive experience during their time at the office. 3. Administrative Tasks: Manage and schedule appointments and meetings for staff members. Maintain records, files, and databases accurately. Sort and distribute incoming mail and packages. Ensure the hygienic & cleanliness in office floor by supervising the support staff. 4. Visitor Coordination: Ensure that visitors have proper identification and issue visitor badges when necessary. Coordinate with security for access control. 5. Office Supplies and Inventory: Monitor and replenish office supplies as needed. Maintain an organized inventory of office supplies and place orders when necessary. 6. Assist in Administrative Support: Provide administrative support to various departments as needed, including data entry, document preparation, and other tasks. Qualifications: High school diploma or equivalent; additional education or certification in office management is a plus. Previous experience in a front office or receptionist role is preferred. Proficiency in Microsoft Office Suite (Word, Excel, and Outlook). Excellent communication and interpersonal skills. Strong organizational and multitasking abilities. Polite and professional appearance. Knowledge of office equipment, including fax machines, printers, and phone systems. Attributes: Customer-focused. Punctual and reliable. Detail-oriented.
