Job Summary:
As a Front Office Executive, you will be the first point of contact for our guests, providing a warm and professional welcome, ensuring their stay is smooth and enjoyable. You will manage all aspects of the front desk operations, including check-in, check-out, room reservations, and guest inquiries. Your role involves maintaining high standards of customer service, ensuring guest satisfaction, and coordinating with other departments to meet guest needs.
Key Responsibilities:
• Welcome and greet guests upon arrival, providing a positive first impression and excellent customer service.
• Efficiently handle the check-in and check-out processes, ensuring accuracy and adherence to hotel policies.
• Provide detailed information about the resort's facilities, services, and local attractions to guests.
• Manage the electronic key card system and maintain room keys for guests.
• Monitor activities in the lobby to ensure the safety and security of guests.
• Handle phone calls and emails related to room bookings, inquiries, and guest requests.
• Verify guest information during check-in, process payments, and issue room keys.
• Manage room reservations, cancellations, and modifications with accuracy.
• Enter reservation details into booking systems (including OTA, channel manager, and central reservation system).
• Address guest inquiries, requests, and complaints promptly and professionally.
• Coordinate with other departments (housekeeping, room service, restaurant) to fulfill guest requests and ensure seamless guest experiences.
• Manage billing procedures and process payments accurately.
• Prepare daily reports on occupancy rates, guest feedback, and financial transactions.
• Communicate effectively with the housekeeping department to update room status promptly.
• Coordinate with maintenance for any room repairs or issues reported by guests.
• Assist with marketing campaigns and special promotions as directed.
• Handle emergency situations calmly and coordinate with security personnel when needed.
Qualifications and Skills:
• Proven experience as a Front Office Executive or similar role in the hospitality industry.
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
• Proficiency in MS Office and hotel management software.
• Customer service-oriented with a positive attitude.
• Ability to work independently and as part of a team.
• Problem-solving skills and the ability to handle difficult situations with diplomacy.
