The Front Office Executive is responsible for overseeing the daily operations of the front office and administration functions. This includes managing reception, providing administrative support, and ensuring smooth coordination between departments. The role requires strong leadership, multitasking abilties, and excellent organizational skills to manage office activities and ensure a welcoming and efficient work environment.
Key Responsibilities

Manage front desk operations to ensure a professional and welcoming environment for visitors and clients.
Oversee the management of phone calls, emails, and in-person inquiries, directing them to the appropriate departments or personnel.
Ensure the front office is clean, organized, and well-maintained.
Coordinate appointment scheduling and visitor management.
Provide administrative support to senior management and various departments, including managing schedules, preparing reports, and handling correspondence.
Organize meetings, conferences, and events.
Manage office supplies and equipment, ensuring that necessary stock levels are maintained.
Handle confidential information with discretion and ensure proper documentation procedures are followed.
Oversee office maintenance, cleanliness, and safety, coordinating with vendors for any required services (e.g., cleaning, repairs, IT support).
Monitor the building's operational needs, ensuring a comfortable work environment for all employees.
Assist with budgeting and expenses related to office supplies, equipment, and administrative services.
Track and manage office expenditures, ensuring cost-effectiveness and compliance with company policies. Act as the primary point of contact for visitors, vendors, and external stakeholders, representing the company in a professional and courteous manner.
Prepare reports and updates for management on office performance and operational matters.
Qualification & Experience
Bachelor's degree in any field.
3+ years of experience in office management, administration, or a similar role.
Excellent verbal and written communication skills.
Outstanding organizational and multitasking abilities.
Proficiency with office software (Microsoft Office Suite, Google Workspace, etc.) and office management systems.
Attention to detail and ability to maintain confidentiality.
