Key Responsibilities:
1. Front Desk Management:
• Greet and welcome visitors, clients, and employees with a professional and friendly demeanor.
• Answer, screen, and direct incoming calls and handle inquiries promptly.
• Maintain a tidy and organized reception area.
2. Administrative Support:
• Manage appointment scheduling and coordinate meeting room bookings.
• Handle correspondence such as emails, letters, and courier services.
• Assist with administrative tasks, including data entry, filing, and document management.
3. Customer Interaction:
• Serve as the first point of contact for customers, addressing their queries or directing them to the appropriate departments.
• Handle complaints and resolve minor issues or escalate them to the concerned team.
4. Visitor Management:
• Maintain a visitor log and issue visitor passes.
• Coordinate with security for visitor entry and ensure adherence to protocols.
5. Coordination:
• Liaise with internal departments to ensure smooth communication and operations.
• Assist in organizing company events, meetings, and other activities.
6. Inventory Management:
• Monitor and manage office supplies for the front desk and related areas.
• Place orders for supplies as needed in coordination with the procurement team.
Qualifications and Skills:
• Bachelor's degree or equivalent education.
• Prior experience in front office or customer service roles is preferred.
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Proficiency in MS Office (Word, Excel, Outlook).
• Professional appearance and demeanor.
• Ability to handle pressure and resolve issues efficiently.
Work Environment:
• Office-based role, typically requiring interaction with multiple departments and external visitors.
