Job Title: Front Office ExecutiveJob Summary:

The Front Office Executive serves as the first point of contact for clients, visitors, and guests, ensuring a warm welcome and efficient service. This role involves managing the reception area, handling administrative tasks, and providing support to various departments within the organization.

Key Responsibilities:

• Reception Management : Greet and welcome visitors in a professional and friendly manner. Manage the reception area, ensuring it is clean and well-maintained.
• Visitor Coordination : Maintain a visitor logbook, issue visitor badges, and direct guests to the appropriate person or department. Ensure visitor protocols are followed.
• Telephone Operations : Answer, screen, and forward incoming phone calls. Handle inquiries and provide information about the organization's services and policies.
• Mail and Package Handling : Receive, sort, and distribute mail and packages. Coordinate courier services as needed.
• Administrative Support : Assist with administrative tasks such as data entry, filing, and document preparation. Provide support for scheduling meetings and managing calendars.
• Customer Service : Address and resolve customer queries and complaints promptly and professionally. Provide information and assistance to clients and visitors.
• Security Coordination : Monitor security systems and report any suspicious activities. Ensure adherence to security protocols for visitor access.
• Inventory Management : Maintain inventory of office supplies and order new supplies as needed. Ensure that the front office is stocked with necessary materials.
• Collaboration : Work closely with other departments to ensure smooth operations and effective communication. Support special projects and events as required.

Qualifications:

• Education : High school diploma or equivalent; additional certification in office management or administration is a plus.
• Experience : Minimum of 1-2 years of experience in a front office, receptionist, or customer service role.
• Skills :
• Excellent verbal and written communication skills.
• Strong interpersonal and customer service skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and front office software (e.g., phone systems, CRM).
• Ability to multitask and prioritize tasks in a fast-paced environment.
• Attention to detail and problem-solving skills.
• Professional appearance and demeanor.

Additional Requirements:

• Availability : Willingness to work flexible hours, including occasional weekends or holidays if necessary.
• Physical Requirements : Ability to stand or sit for extended periods and perform light physical tasks such as lifting packages.
