Job Title: Front Office Associate

Job Summary:
As a Front Office Associate, you will be the first point of contact for our clients, visitors, and employees. Your role is crucial in ensuring a smooth and professional experience for everyone who interacts with our organization. You will manage front desk operations, handle administrative tasks, and support various departments to ensure the efficient functioning of the office.
Key Responsibilities:
• Reception Duties:
• Greet and welcome visitors, clients, and employees with a professional and friendly demeanor.
• Answer, screen, and forward incoming phone calls and emails.
• Maintain the visitor log and issue visitor badges as required.
• Administrative Support:
• Manage office supplies inventory and place orders as necessary.
• Schedule and coordinate meetings, appointments, and travel arrangements.
• Handle incoming and outgoing mail and packages.
• Customer Service:
• Provide information and assistance to clients and visitors regarding company services, policies, and procedures.
• Address and resolve customer inquiries and complaints in a timely and professional manner.
• Data Management:
• Maintain and update office databases and records.
• Assist in preparing reports, presentations, and correspondence as needed.
• Office Maintenance:
• Ensure the front office area is clean, organized, and welcoming.
• Coordinate with facilities management for any maintenance issues or repairs.
• Team Collaboration:
• Assist various departments with administrative tasks and projects as needed.
• Support onboarding processes for new employees, including setting up workstations and providing initial orientation.
Qualifications:
• Education: High school diploma or equivalent required; Associate's degree or higher preferred.
• Experience: 1-3 years of experience in a front office or administrative role preferred.
• Skills:
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other Front office software.
• Strong organizational and multitasking abilities.
• Ability to handle sensitive and confidential information with discretion.
• Professional appearance and demeanor.
