• Key Responsibilities:
• Guest Check-in and Check-out :
• Greet guests with a friendly and professional demeanor as they arrive at the hotel, ensuring a warm welcome.
• Complete the check-in/check-out process efficiently, ensuring all necessary information is captured accurately in the system.
• Handle guest registration, assigning rooms, issuing room keys, and providing guests with essential hotel information, such as facilities and services.
• Guest Assistance and Service :
• Assist guests with special requests or requirements, ensuring their needs are met promptly (e.g., room preferences, special amenities, transportation arrangements).
• Respond to guest inquiries, providing information about the hotel, local attractions, dining options, and services.
• Address guest complaints or issues with empathy, professionalism, and effective problem-solving, ensuring guest satisfaction.
• Reservations and Booking Management :
• Manage room reservations through the property management system (PMS) or via phone/email, ensuring availability, accuracy, and confirmation of bookings.
• Process cancellations, modifications, or special requests related to bookings.
• Maintain an organized and updated reservation calendar to optimize room occupancy and rates.
• Telephone and Email Management :
• Answer phone calls promptly and professionally, directing them to the appropriate departments or offering assistance.
• Respond to guest inquiries via email or online chat, ensuring clear and timely communication.
• Billing and Payments :
• Process guest payments for room charges, additional services, and incidentals.
• Maintain an accurate record of charges and ensure that invoices are issued correctly.
• Handle cash, credit, and debit card transactions with attention to detail and according to company policies.
• Administrative Duties :
• Maintain accurate records of guest information, reservation details, check-in/check-out times, and other pertinent data.
• Prepare daily reports, including occupancy, revenue, and other key performance indicators for management review.
• Assist with filing, handling mail, and performing other office tasks as required by the Front Office Manager.
• Coordination with Other Departments :
• Communicate with housekeeping, concierge, and maintenance departments to ensure guest requests and needs are met.
• Inform the housekeeping team about guest arrivals and departures, ensuring rooms are ready on time.
• Coordinate with the concierge for guest services such as transportation, tours, and dining recommendations.
• Guest Relations and Marketing :
• Promote hotel services and special offers to guests during check-in and throughout their stay.
• Upsell additional services such as room upgrades, dining, or spa treatments when appropriate.
• Ensure guest loyalty and repeat business by providing personalized and memorable service.
• Hygiene and Appearance :
• Maintain a professional appearance, adhering to the hotel's grooming standards, and ensure the front desk area is clean, organized, and welcoming at all times.
• Follow the hotel's dress code, ensuring that uniforms (if provided) are clean, neat, and in good condition.
