Job Summary:
The Front Office Receptionist serves as the initial point of contact for visitors and clients entering the company. This role involves managing the reception area, handling incoming calls, scheduling appointments, and providing administrative support to ensure the smooth operation of the office.
Key Responsibilities:
• Reception Duties:
• Greet and welcome visitors and clients with a positive, professional demeanor.
• Direct visitors to the appropriate person or department.
• Maintain a clean and organized reception area.
• Phone and Email Management:
• Answer and route incoming phone calls in a courteous and efficient manner.
• Handle incoming and outgoing mail, email, and packages.
• Scheduling and Coordination:
• Manage appointment calendars and schedule meetings.
• Coordinate conference room bookings and set up meetings as needed.
• Administrative Support:
• Perform general office tasks such as data entry, filing, and photocopying.
• Assist with office supplies inventory and order replacements as needed.
• Customer Service:
• Address and resolve visitor and client inquiries or issues.
• Provide information about the company and its services.
• Security and Compliance:
• Monitor and control access to the office, ensuring security protocols are followed.
• Maintain confidentiality of sensitive information.
