Responsibilities:
• Greeting Visitors and Clients:
• Welcome visitors and clients warmly, creating a positive first impression.
• Ensure all visitors sign in and are directed to the appropriate person or department.
• Managing Phone Calls:
• Answer incoming calls promptly and professionally.
• Redirect calls to appropriate staff members or take detailed messages when necessary.
• Appointment Scheduling:
• Manage and coordinate appointments, ensuring accurate scheduling and timely reminders.
• Maintain a clean and organized appointment book or scheduling software.
• Mail and Deliveries:
• Handle incoming and outgoing mail, packages, and deliveries.
• Distribute mail to the appropriate departments or individuals in a timely manner.
• Administrative Support:
• Assist with various administrative tasks such as data entry, filing, and maintaining office supplies.
• Provide support to other staff members as needed, ensuring smooth office operations.
• Maintaining the Reception Area:
• Keep the reception area tidy and presentable, ensuring all materials are up-to-date and organized.
• Restock brochures, forms, and other materials as necessary.
• Security and Access Control:
• Monitor and control access to the building, ensuring only authorized individuals enter.
• Report any suspicious activity to security personnel or management immediately.
