• Front Desk Management:
• Greet and welcome visitors with a positive attitude.
• Answer and direct incoming calls promptly and professionally.
• Maintain a clean and organized reception area.
• Client Coordination:
• Schedule client appointments and meetings.
• Assist walk-in customers by directing them to the relevant department or staff member.
• Maintain an updated calendar for store events, client meetings, and staff schedules.
• Administrative Support:
• Handle incoming and outgoing correspondence, including emails, packages, and couriers.
• Maintain records of visitors, appointments, and inquiries.
• Manage office supplies inventory for the reception area and order as needed.
• Assist with filing and documentation tasks for other departments when required.
• Coordination with Teams:
• Communicate effectively with sales, design, and accounts teams to ensure smooth operations.
• Provide necessary updates regarding scheduled meetings or client feedback.
• Prepare and share daily visitor and inquiry reports with the management.
• Customer Relationship Management:
• Collect and document client feedback during visits or calls and escalate issues to the concerned team.
• Provide information about the company's products, services, and policies when required.
• Follow up on pending inquiries to ensure excellent client service.
• Brand Representation:
• Uphold MO Designs' image by presenting a polished and professional demeanor.
• Assist in organizing the reception area during events or client showcases to align with brand standards.
• Technology & System Management:
• Maintain and operate the intercom system and ensure proper communication across teams.
• Handle basic troubleshooting of office devices such as phones, printers, and scanners.
• Visitor Security & Protocol Management:
• Monitor visitor logs and ensure all guests sign in/out as per company protocol.
• Coordinate with the security team to maintain safety and access control.
• Verify client identity for restricted-access areas when necessary.
• Support for Events & Meetings:
• Assist in arranging refreshments for clients and team meetings.
• Coordinate logistics for in-store events, such as scheduling and client invitations.
