Job Description

The Front Office Receptionist at KAWMA INTERNATIONAL LLP is responsible for creating a welcoming environment for all visitors, clients, and staff. In addition to managing reception duties and supporting administrative tasks, this role involves collecting fees, managing academic relationships, and providing placement assistance for students. The ideal candidate will be professional, organized, and capable of multitasking in a dynamic environment, with excellent customer service skills.

Key Responsibilities:

• Greeting and Reception:
• Greet and welcome visitors, clients, and staff upon arrival at the office.
• Direct visitors to the appropriate department or personnel.
• Answer, screen, and route incoming phone calls in a courteous and professional manner.
• Ensure the reception area is clean, tidy, and presentable, stocked with necessary materials (e.g., forms, brochures).
• Fees Collection:
• Manage and process fee collections from students and clients.
• Maintain accurate records of all transactions and ensure timely updates to the financial system.
• Provide receipts and resolve any discrepancies in fee payments.
• Assist clients and students with inquiries related to fees and payments.
• Academic Relationship Management:
• Serve as a point of contact for academic inquiries and support.
• Coordinate with academic departments to schedule meetings, appointments, and academic events.
• Assist students and parents with information about courses, schedules, and academic policies.
• Maintain and update student records and academic files.
• Placement Assistance:
• Provide placement assistance for students, including sharing information on job opportunities and internships.
• Coordinate with the placement cell and various companies to facilitate student placements.
• Organize and schedule placement interviews and career counseling sessions.
• Maintain and update records of student placements and employer contacts.
• Administrative Support:
• Provide accurate information and assistance in person, via phone, and email.
• Maintain office security by following procedures and controlling access via the reception desk (e.g., monitor logbook, issue visitor passes).
• Handle incoming and outgoing mail, packages, and deliveries.
• Perform general clerical duties, including filing, photocopying, and faxing.
• Communication and Coordination:
• Handle inquiries and provide appropriate information or refer to the correct staff member or department.
• Coordinate with other departments to facilitate smooth office operations.
• Assist in preparing and distributing internal communications, such as memos and announcements.
• Maintain and update office records and databases.
• Customer Service:
• Address and resolve complaints and concerns from visitors, clients, and staff in a professional manner.
• Provide assistance to clients and visitors regarding KAWMA INTERNATIONAL LLP's policies, procedures, and services.
• Support the administrative team in ensuring a high level of customer service and satisfaction.

Job Type: Full-time

Pay: ?10,000.00 - ?12,000.00 per month
