Job Description

The Front Desk Executive is responsible for managing the front office operations and ensuring effective communication within the school environment. This role involves handling administrative tasks, greeting visitors, answering phone calls, managing emails, and providing essential support to staff, students, and parents.

Key Responsibilities:

• Greeting and Assisting Visitors : Welcome students, parents, staff, and visitors in a professional and friendly manner. Ensure visitors follow the school's security and safety procedures.
• Telephone and Email Management : Answer phone calls, take messages, and direct them to the appropriate personnel. Respond to emails and inquiries related to school operations, events, and general information.
• Administrative Support : Maintain and organize school records, files, and documents. Assist with the preparation of reports, letters, and forms for the administration team.
• Scheduling and Coordination : Help schedule appointments for meetings, conferences, and other events. Maintain the school's calendar, coordinate visitor arrivals, and support event management.
• Student Assistance : Provide basic information and support to students, including directing them to relevant departments or staff members. Assist with attendance records, handing out forms, or collecting paperwork.
• Handling School Communications : Distribute memos, notices, and other important information to students, parents, and staff. Ensure that any communication received by the front desk is addressed and forwarded to the right department.
• Supply Management : Oversee the inventory of office supplies, ensure that materials are stocked, and request new supplies when needed.
• Record Keeping : Update and maintain student attendance, health records, and other essential files as needed.
• General Office Management : Ensure the front desk and surrounding areas are clean, organized, and presentable. Perform other clerical duties as assigned by the school administration.

Required Qualifications:

• High school diploma or equivalent; Bachelor's degree preferred.
• Proven experience in an administrative or customer service role.
• Excellent verbal and written communication skills.
• Strong organizational skills and attention to detail.
• Ability to multitask and prioritize tasks effectively.
• Proficiency with office software (e.g., Microsoft Office, Google Workspace).
• Ability to maintain confidentiality and handle sensitive information with discretion.

Preferred Skills:

• Previous experience working in a school or educational environment.
• Basic knowledge of school policies and operations.
• Experience with school management systems or student information software.
• Fluency in English.

Job Type: Full-time

Pay: ?25,000.00 - ?30,000.00 per month
