Reports To: Office Manager / Administrative Supervisor Position Summary: The Receptionist at the Immigration Office serves as the first point of contact for clients, providing a warm and professional welcome to all visitors and callers. The role involves managing front desk operations, handling inquiries, and ensuring efficient communication and coordination within the office. The ideal candidate will have excellent communication skills, a high level of professionalism, and the ability to handle sensitive information with discretion. Key Responsibilities:
  • Front Desk Management:
  • Greet and welcome visitors in a friendly and professional manner.
  • Answer and direct phone calls to appropriate staff members.
  • Manage the front desk area, ensuring it is clean, organized, and presentable.
  • Client Assistance:
  • Provide general information to clients regarding immigration processes, requirements, and services offered.
  • Assist clients with completing necessary forms and documentation.
  • Schedule and manage appointments, ensuring efficient use of office resources and staff time.
  • Administrative Support:
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Maintain and update client records and office databases.
  • Prepare and distribute correspondence, memos, and reports as needed.
  • Coordination and Communication:
  • Liaise with internal staff and external agencies to facilitate smooth office operations.
  • Assist in organizing meetings, conferences, and events.
  • Coordinate translation and interpretation services as required.
  • Compliance and Confidentiality:
  • Adhere to all office policies and procedures, particularly those related to confidentiality and data protection.
  • Ensure all client interactions and transactions are conducted in compliance with relevant laws and regulations.
Qualifications:
  • High school diploma or equivalent; additional qualifications in office administration are a plus.
  • Proven experience as a receptionist or in a similar front office role.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (e.g., fax machines and printers).
  • Strong organizational and multitasking abilities.
  • High level of professionalism and customer service orientation.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Knowledge of immigration processes and procedures is an advantage.
  • Bilingual or multilingual abilities are preferred.
Work Environment:
  • This position operates in a professional office environment.
  • Standard hours of work are 8 hours,
  • The role may require occasional lifting of office supplies and materials.
